Responsible for completing HIPAA Training annually and maintains patient confidentiality.
Responsible for tracking medical records of ALL assigned Soldiers.
Responsible for administrative medical charting regarding records in eCase.
Request profile exams/evaluations and audiology exams at physical exam center.
Attend PHA events as determined by the needs of the state and the individual units.
Regularly check emails throughout the business day and respond in a timely fashion. An out of office response is required anytime the employee is not working on a scheduled day.
Check voicemail throughout the business day and respond within 24 hours. An out of office response is required anytime the employee is not working on a scheduled day.
Ensure Soldiers referred by a provider are briefed on records collection SOP.
Ensure all medical documentation received from the Soldier and/or their medical team is received and placed in appropriated electronic record, as well as the Soldier’s hard copy record.
Maintain soldier medical records in accordance with Army Regulation (AR) 40-66 and maintain a tracking log.
Obtain release of information signed by the soldier for the release or collection of medical records.
Upload medical documents of Soldiers into Health Readiness Record (HRR).
Stamp all medical documents for verification after uploading
Index uploaded medical documents in HRR, and print or email a complete copy upon request.
Track medical appointments by communication with unit to ensure Soldier attendance and submission of follow up documentation.
Communicate with delegated government personnel to track medical record submission compliance versus noncompliance.
Maintain and file extraneous medical records as required.
Education & Qualifications:
A minimum 3 years of full-time experience managing military medical records.
