Job Description - Meeting Support Specialist

We are looking for a Meeting Support Specialist to play a key role in ensuring smooth, professional, and well-executed meetings and events across a fast-paced corporate environment.

In this role, you will support conference rooms, training spaces, and meeting areas by ensuring they are fully prepared, functional, and presentation-ready. You’ll work closely with Floor Hosts and internal teams to deliver a seamless experience for employees and clients.

What You’ll Do

You will be responsible for ensuring meeting and event spaces are fully prepared and operating at a high standard, including:

  • Setting up and configuring training rooms and conference spaces based on client specifications
  • Moving and adjusting room layouts (including airwalls) to support event needs
  • Setting up materials, supplies, and equipment for meetings and trainings
  • Ensuring audio/visual equipment, lighting, temperature, and room conditions are properly set
  • Taping and managing cables and ensuring safe, clean setups
  • Performing post-meeting cleanup and resetting rooms for the next use
  • Conducting regular floor checks to ensure rooms are presentable and properly utilized
  • Supporting AV needs and troubleshooting basic meeting setup issues
  • Assisting with inventory control and returning equipment to proper storage
  • Delivering high-level customer service to internal teams and visitors
  • Capturing basic service data and reporting interactions as needed
  • Supporting a polished, professional, and welcoming environment at all times

What We’re Looking For

  • 2–3 years of experience in hospitality, hotel services, restaurant service, event coordination, or corporate support preferred
  • Strong customer service mindset with a professional and polished demeanor
  • Comfortable working in a fast-paced, hands-on environment
  • Basic technical skills (Microsoft Office, Google Workspace, AV equipment)
  • Strong attention to detail and ability to follow setup instructions accurately
  • Ability to stand, walk, and lift up to 25–50 lbs as needed
  • Excellent communication and problem-solving skills
  • Ability to interact professionally with executives, clients, and staff at all levels
