Member Accounts Specialist

Position Overview
The Member Accounts Specialist is responsible for managing the day-to-day operations of member accounts while delivering exceptional customer service. This position requires a high level of accuracy, professionalism, and confidentiality while working with sensitive customer information, financial transactions, and USPS documentation. Working closely with the Accounts Manager and Accounts Team, the Member Accounts Specialist ensures new memberships, renewals, account updates, and account closures are processed accurately, efficiently, and in compliance with company policies and USPS regulations.
What You'll Do
As a Member Accounts Specialist, you'll help ensure our members receive accurate, timely, and professional service throughout every stage of their membership. Your Day May Include:
- Welcoming new members and creating new member accounts
- Reviewing membership applications, Mail Service Agreements, and USPS Form 1583s for accuracy, completeness, and compliance with company policies and USPS regulations
- Ensuring all sign-up documentation is complete, accurate, and maintained in compliance with company procedures and postal requirements
- Processing membership renewals, upgrades, downgrades, and account closures
- Applying payments and processing account transactions accurately
- Verifying that all membership fees, postage deposits, renewals, and account-related charges are collected accurately and applied to the appropriate member account
- Assisting members professionally by phone, email, voicemail, Help Desk, and in person
- Explaining membership plans and guiding members through the sign-up process
- Answering inbound calls and making outbound calls while providing exceptional customer service
- Maintaining spreadsheets for account activity, suspended accounts, and account closures
- Preparing monthly reports for the Accounts Manager and accounting team
- Processing postage refund checks for closed accounts
- Ensuring closed accounts are properly documented and reported to USPS
- Assisting with the training and support of new team members when needed
- Communicating customer concerns, department updates, and project progress to the Accounts Manager in a timely manner
- Completing additional projects and department initiatives while meeting assigned deadlines

- Is efficient, dependable, and able to prioritize multiple tasks in a fast-paced environment
- Has strong computer and data entry skills
- Is proficient in Microsoft 365, with a strong working knowledge of Microsoft Excel
- Communicates professionally in person, over the phone, and in writing
- Is confident answering both inbound and outbound phone calls while providing outstanding customer service
- Is comfortable handling payments and account-related transactions accurately
- Can confidently work both independently and as part of a collaborative team, adapting to the needs of the department
- Demonstrates integrity, accountability, and a positive, team-oriented attitude
- Is able to meet deadlines consistently and complete assigned projects and tasks in a timely manner
- Communicates progress, completed work, and any concerns promptly to the Accounts Manager, ensuring deadlines and departmental goals are met
Preferred Qualifications
- Previous customer service, administrative, billing, account management, or member services experience
- Experience processing financial transactions
- Basic bookkeeping knowledge
- Proficiency with Microsoft 365, particularly Excel, Word, and Outlook
- Experience with CRM, membership management, or accounting software
- Previous experience in a fast-paced, customer-focused office environment
Schedule Monday – Friday 8:30 AM – 5:00 PM Enjoy a consistent weekday schedule with evenings and weekends off.
Pay $18.00–$19.00 per hour (Based on experience)
