Job Description - Member Services Representative

Summary/Purpose


Receives and receipts cash payments from member-consumers over the counter or by mail; greets visitors, answers inquiries or complaints and/or directs to proper department, balances and prepares cash and check deposits.


 


Typical Duties and Responsibilities


The following are the typical duties of this position and do not include marginal functions that are incidental to the performance of fundamental job duties and may include other duties as assigned.  The scope and duties of a given position may change or be temporarily altered based on the business needs of NAEC.  All employees are expected to work in a safe manner and follow all safety rules and regulations at all times.  This document does not create an employment contract, implied or otherwise, other than an “at will” employment relationship.


 


Typical responsibilities include:



  • Receives and credits member-consumer payments through the mail and counter.

  • Prepares reports that require investigation, verification, classification, recording and/or reconciling of data.

  • Receptionist duties: First contact for walk-ins or drive-through customers.

  • Answer inquiries or complaints and/or direct to proper department, either in person or through switchboard.

  • Balance and prepare cash and check deposits.

  • Assists with RESP loan program by preparing loans for approval, filing liens and preparing end of month reports for accounting.

  • Assists with mail delivery/pickup at the Salem office and bank deposits.

  • Assists with rate 1017 accounts on usage management during summer months.

  • Processes mail payments through REMIT processing and prepares bank deposits of mailed payments.

  • Primary contact for payment arrangements and delinquents

  • Primary contact for connects and disconnects

  • Updates necessary information for capital credit database to ensure delivery of capital credit checks.

  • Processes invoices for other account receivable for accounting.

  • Prepare and send bank drafts each month for billing.

  • Process necessary documentation for RESP Program.

  • Assist in taking and reporting outages.

  • Assist with billing inquiries as needed.

Qualifications

Education/Experience


High school diploma or equivalent.  One to two years' experience.



Knowledge, Skills & Abilities



  • Computer literate with working knowledge of spreadsheets, database and word processing software.

  • Ability to read and interpret documents such as safety rules and procedure manuals.

  • Ability to write/complete routine reports.

  • Ability to effectively present information and respond to questions from employees, members and the general public.

  • Ability to solve problems and interpret a variety of instructions furnished in written, oral, diagram or schedule form.

  • Ability to interact with members and other employees in a courteous and proper manner.

  • Should have good working knowledge of all Cooperative policies and procedures and Service Rules and Regulations and Rates.


 


Physical Demands/Working Conditions


General office conditions with irregular hours as deemed necessary by the position.  Requires the physical ability of stooping, kneeling, crouching, reaching, standing, walking, grasping, manual dexterity, talking, hearing, and defined light work.


 


Work Environment


The work environment characteristics are representative of those an employee encounters while performing the essential functions of this job, including normal office setting.  Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.  The noise level in the work environment is usually low to moderate.
