Job Summary:
The Front Office Receptionist is essential for providing accurate and timely patient registration and ensuring a seamless experience for our patients. This role includes utilizing medical systems for patient interactions, verifying insurance coverage, and delivering exceptional customer service to physicians, patients, families, and other healthcare professionals.
Essential Duties and Responsibilities:
- Greets and welcomes patients and visitors either in person or over the phone and answers inquiries or refers them as necessary.
- Records patient arrival in the Practice Management System (EMR).
- Confirms patient identity using date of birth and name and creates new accounts for patients not already in the system.
- Prepares necessary paperwork prior to patient appointments.
- Contacts “No Show” patients to reschedule appointments and make appropriate entries in the Practice Management System.
- Enhances patient satisfaction, minimizes provider wait time, and ensures treatment room efficiency by effectively scheduling appointments.
- Responds promptly to any patient emergencies, using sound judgment and discretion.
- Updates patient information in the Practice Management System (EMR) as necessary.
- Identifies payer sources, verifies insurance eligibility, assesses financial status, and ensures correct payer types are assigned.
- Maintains a clean and organized reception area.
- Records and collects patient copays and outstanding balances at check-in/out to facilitate revenue processes.
- Ensures patient confidentiality by safeguarding personal and financial information.
- Adheres to policies and procedures and reports changes as needed.
- Contributes to team efforts by accomplishing related tasks as needed.
- Exhibits outstanding customer service skills at all times.
- Answers incoming calls in a polite and timely manner.
- Maintains a courteous, professional, and cooperative demeanor when interacting with patients, visitors, providers, and co-workers.
- Performs other duties as assigned by Practice Manager or Area Practice Manager.
- High School Diploma required; Associate's Degree preferred.
- A minimum of 1 year of customer service experience in a healthcare office setting is preferred.
