Position Schedule

Schedules may consist of three 12-hour shifts (7:40 a.m.–8:00 p.m.) with alternating weekends (8:45 a.m.–2:00 p.m.), or Monday–Friday eight-hour shifts with weekends as needed at the Practice Manager’s discretion. Weekend differentials pay and overtime opportunities are available.

General Position Summary

Under the supervision of a treating clinician and the Practice Manager, the Multi-Site Medical Assistant Coordinator performs clinical and administrative duties while supporting operations at two or more assigned sites. This position will improve the overall operations for locations by stabilizing and teaching standard workflows as well as identifying opportunities for improvement. When not functioning as a MMAC, the individual will function as a Medical Assistant within their assigned POD. This role provides day-to-day directions to Medical Assistants, monitors compliance and workflow, ensures practices are ready for safe care (equipment, supplies, inbox management), and helps ensure accurate, efficient, patient-centered care.

Key Responsibilities

Primary Responsibilities

• Support new site openings and serve as a partner to Pod leadership for maintaining safe and efficient site operations
• Perform patient intake, document medical histories, update the electronic health record, and maintain accurate, confidential records.
• Assist providers with examinations, procedures, medication administration, injections, venipuncture, specimen collection, point-of-care testing, orders, referrals, and discharge instructions within scope and policy.
• Aid in the development, piloting, and rollout of new workflows, SOPs, and technology
• Support patient registration, insurance verification, scheduling, check-in and check-out, callbacks, and appointment confirmation.
• Promote efficient patient flow and communicate clearly with patients regarding procedures, treatment plans, and follow-up care.
• Provide daily directions to Medical Assistants and lead huddles to communicate priorities, assignments, and expectations.
• Support operations at two assigned sites and escalate unresolved or recurring concerns to the Practice Manager.
• Monitor and/or complete opening and closing checklists, monthly inspections, clinic readiness, exam-room stocking, inventory, and equipment upkeep.
• Conduct weekly or biweekly inventory reviews to ensure adequate supply levels are maintained to prevent clinic shortages
• Conduct routine HIPAA, OSHA, CLIA, infection-prevention, chart, and operational spot-checks and track corrective actions through completion.
• Identify recurring workflow gaps and provide weekly trend reports to the Practice Manager, including outstanding inbox tasks, specimen delays, and collection-at-time-of-service compliance.
• Address patient cases, billing questions, complaints, and service concerns promptly and professionally.
• Mentor new hires during their first 90 days, support training and competency development, and complete 90-day assessments with recommendations for additional support.
• Complete all assigned compliance training, oversee office compliance training to ensure timely completion, coordinate remedial training for employees who miss required monthly training, maintain compliance with organizational training standards, meet established performance expectations, and perform other duties as assigned by the Practice Manager or leadership.
• Review the practice schedule with particular attention to external booking channels such as ZocDoc platform daily to complete appointment confirmations in accordance with policy, identify any scheduling issues or discrepancies and communication concerns to the appropriate team member or leadership for a timely resolution
• Escalate outdated or inefficient workflows, SOPs, and policies to leadership for review and modification

Required Qualifications

• High school diploma or GED.
• Completion of a medical assistant training program and current CCMA, CMA, RMA, or another approved certification.
• At least two years of medical assistant experience, including clinical intake, venipuncture, specimen collection, point-of-care testing, EKGs, and direct patient care.
• Proficiency with electronic health record systems and standard clinical technology.
• Working knowledge of applicable federal, state, and local requirements, including HIPAA, OSHA, and CLIA.

Preferred Qualifications

• Two or more years of customer service experience.
• Experience in primary care, immediate care, physician practice, or emergency department.
• Healthcare administration, team-lead training, or multi-site experience.

Working Conditions

• Patient-facing clinical environment with moderate noise and possible exposure to infectious diseases and blood-borne pathogens.
• Ability to stand or sit for extended periods, bend, stoop, perform tasks requiring manual dexterity, and lift up to 50 pounds.
• Schedule and work location may vary based on patient volume and business needs.
