The OEM Sales Coordinator II is responsible for providing a high standard of administrative and sales support to Thorlabs’ OEM customer base, while also playing a key role in supporting departmental projects such as process improvements or data clean-up. This role is part of a team selling structure, requiring close collaboration with Manufacturing, Sales Teams, Project Managers, and Engineers to ensure a seamless customer experience while actively contributing to the continuous improvement of departmental processes.
Although the location of the position is in Newton, NJ, from time to time it may be required to undertake duties at other Thorlabs locations.
Essential Job Functions include the following, but are not limited to:
- Work as part of a dedicated team to prepare quotations, process sales orders, handle invoicing issues, and answer queries from our OEM customers.
- Create and accurately maintain case and opportunity records in our CRM to track customer orders, quotes, and communications.
- Ensure organized management of customer open quotes, orders, and planned shipments, working closely with our Order Fulfilment Team, Business Units, and distribution center to deliver goods on time.
- Effectively manages OEM Customer quote and order management needs and maintains understanding of purchase contract types available to OEM Customers.
- Works with internal teams to ensure customer order fulfillment is on time and to the customer expectations.
- Manage key relationships with Thorlabs OEM customers to support their sales and purchasing needs.
- Lead and support projects focused on process improvement and data integrity within the sales department, identifying opportunities for efficiency gains and implementing solutions in collaboration with cross-functional teams.
- Prepare data and presentations to communicate information, findings, and proposals to various levels of the organization.
- Executing various administrative tasks related to supporting the operations and sales department, including reports, customer management using a variety of software tools including Microsoft Dynamics ERP System, CRM, MS Office programs to include but not limited to Excel, Word, and Power Point.

- Meeting company standards pertaining to quantity and quality of work performed on an ongoing basis, performing all work-related tasks in a manner that is in compliance with all Company policies and procedures.
- Adhering to Company policies, procedures, and directives regarding standards of workplace behavior in completing job duties and assignments.

Physical Activities: This is largely a sedentary role; however, this may require the ability to lift, bend or stand as necessary
Qualifications
Experience:
- Minimum 2 years of experience in a similar and progressive position preferred.
- Must have good understanding of Microsoft product suite including Excel and Microsoft Outlook. Preference for ability to use intermediate functions in Excel, including generating tables, graphs and interacting with large data sets.
Education:
- High School Diploma required, Associate or Bachelor’s degree preferred.
Specialized Knowledge and Skills:
- Strong communication and teamwork skills with the ability to work in project teams to ensure that the customers purchasing needs are well clearly understood at all levels of the organization.
- Strong multi-tasking skills, attention to detail, and the ability to work independently and ability to shift from one task to another to address changing production priorities.
- Demonstrated experience in Microsoft Dynamics, CRM, Microsoft Office (Excel, Word, Power Point) and communication tools.
- Demonstrated experience in a customer centric environment, ability to work in a team environment and comply with high quality standards.
- Ability to read and interpret documents such as procedures manuals, routine reports, and various correspondences.
- Preferred experience working in an ERP System.
Pay Range For This Position is $22.00 - $28.78 per hour D.O.E.
