Job Description - Office Administration Clerk

Our client, a financial institution is seeking an Office Administration Clerk to support efficient office operations and assist with various administrative tasks. The ideal candidate will be responsible for maintaining organization, handling correspondence, and ensuring smooth daily operations within the office environment.

Key Responsibilities

Administrative Support

  • Answering phone calls, taking messages, and handling inquiries.
  • Managing office correspondence, including emails, memos, and letters.
  • Maintaining both physical and digital filing systems for easy access to records and documents.
  • Preparing and processing reports, presentations, and official documents.

Data Entry and Record Keeping

  • Entering and updating data in office databases or systems.
  • Monitoring office supplies and placing orders when necessary.
  • Ensuring the accuracy and confidentiality of information.

Scheduling and Coordination

  • Scheduling meetings, appointments, and conferences.
  • Coordinating travel arrangements and accommodations for staff when required.
  • Maintaining calendars and ensuring deadlines are met.

Financial Support

  • Assisting with invoicing, billing, and basic bookkeeping tasks.
  • Managing petty cash and maintaining financial records.

Customer Service

  • Greeting and assisting visitors and clients professionally.

Office Organization

  • Ensuring the office environment remains organized and tidy.
  • Monitoring and maintaining office equipment, such as printers, computers, and phones, to ensure functionality.

Skills and Qualifications

  • Strong Communication Skills: Ability to interact professionally with colleagues and visitors.
