OFFICE ADMINISTRATIVE ASSISTANT



Job Description



Summary:  Assist with general office tasks to include phone assistance, office supplies orders, scanning, filing, and small projects as assigned. Coordinate the bidding process for a mid-sized paving and sitework contractor.  Build relationships with customers, subcontractors, and vendors while facilitating and improving an efficient sales system.  Assist in other administrative areas, as needed.



Essential Functions:



  • Answer and manage incoming calls and manage Star 2 Star system.

  • Greeting Customers and visitors. 

  • Meeting/Event planning as needed.

  • File, scan, fax, copy, print plans and reports and manage documents as needed.

  • Sort mail and pick up mail.

  • Inventory and order office supplies as needed.

  • Assist in maintaining updated Insurance certificates for Vendors.

  • Renovation incoming calls/outgoing estimates tracking spreadsheets.

  • Perform other duties and responsibilities as assigned by the Supervisor.

  • Assist with social media posts.

  • Assist with Marketing programs as needed.



Estimating Department Assistance Functions:



  • Assist with initiating the bid process (Bid file setup- as directed).

  • Assist with qualifying new subcontractors/vendors – as directed.

  • Assist with maintaining and updating the Bid Files-as directed.

  • Maintain bid statuses updated (Active vs. Lost vs. Awarded) within Bidding software.

  • Facilitate constant communication between Customer & Estimating Team.

  • Continuously check GC/Municipalities websites for new solicitations. 



Other Functions



  • Miscellaneous purchasing.

  • Assist other departments, when needed.

  • Assist with special projects, as needed.



Job Requirements



  • High School Diploma, GED, or the equivalent preferred.

  • Prior office experience with multiple tasks.

  • Valid Florida Driver’s License.

  • Good communication skills.

  • Ability to follow instructions well.

  • MS Office proficient (Word, Excel, Outlook, PowerPoint).
