Job Description - Office Administrator

American Chillers is a prominent manufacturer of cutting-edge refrigeration equipment catering to various niche industries, such as cold plunge, breweries, dry cleaning, and medical applications. This position allows you to thrive in a vibrant, rapidly-evolving manufacturing setting.

We are on the lookout for a diligent and dependable Office Administrator to manage Accounts Receivable, Accounts Payable, shipments, and customer service. This role is essential for maintaining seamless daily operations while providing support to our internal teams and valued clients.

Key Duties

Accounts Receivable (AR):

  • Produce and dispatch customer invoices promptly
  • Document and monitor incoming payments
  • Follow up on overdue accounts and address billing concerns
  • Maintain precise AR records and perform account reconciliations

Accounts Payable (AP):

  • Process vendor invoices and expense claims
  • Guarantee timely and accurate bill payments
  • Reconcile accounts payable transactions
  • Coordinate with purchasing and suppliers to resolve discrepancies

Shipments & Logistics:

  • Organize outgoing shipments with carriers and freight services
  • Prepare packing slips, bills of lading, and associated documentation
  • Monitor shipments and provide status updates to clients
  • Collaborate with production to ensure prompt order fulfillment

Customer Service & Office Support:

  • Act as a primary point of contact for customer inquiries
  • Provide updates on order statuses and swiftly resolve issues
  • Answer phone calls and route communications to the appropriate department
  • Assist with general office tasks, including filing, records management, and managing office supplies
  • Proven experience in office administration, accounting support, or customer service roles
  • Familiarity with AR/AP processes and basic accounting principles
  • Strong organizational and multitasking skills with keen attention to detail
  • Proficiency in Microsoft Office (Excel, Word, Outlook) and comfort with ERP/accounting software
  • Excellent written and verbal communication skills
  • Ability to work independently and manage priorities in a fast-paced environment
  • High School Diploma or Equivalent (Associate’s or higher a plus)
