Job Description

What You'll Do



Administrative Support

 

  • Manage executive calendars and coordinate internal/external meetings
  • Draft and circulate meeting agendas, summaries, and follow-ups
  • Support in preparing presentations, reports, and documents for internal use
  • Assist with onboarding new employees, ensuring all accounts, tools, and access are properly set up
  • Maintain up-to-date internal directories, org charts, and contact lists

     

Finance & Accounting Coordination

  • Collect and track receipts, petty cash, and expense reimbursements
  • Coordinate with vendors and suppliers for office-related payments and invoices
  • Keep expense reports neat, accurate, and up to date

     

HR & People Experience Support

  • Assist HR with onboarding logistics ID cards, laptops, and software access
  • Track attendance, leave calendars, and team birthdays
  • Help organize internal events, team "Huddles," or monthly gatherings that keep our culture alive

     

Support for Leadership & Projects

  • Support the CEO and Founders with scheduling, coordination, and follow-ups
  • Track project-related documents (like NDAs or agreements) and ensure deadlines are met

     

Tech Support & Systems Coordination

  • Provide first-level technical support for employees (Google Workspace, email, shared drives, basic troubleshooting)
  • Set up and manage laptops, user accounts, permissions, and software access for new hires and offboarding employees
  • Maintain an inventory of tech equipment (laptops, accessories, licenses) and ensure proper tracking

     

What We're Looking For

  • Detail-oriented, organized, and someone who thrives in keeping things running smoothly
  • 1-3 years of experience in admin, coordination, or operations
  • Fluent in English with great communication skills
  • Tech-savvy, comfortable with Google Workspace and Excel/Sheets
  • Excellent multitasking skills and a proactive "let's get it done" attitude

     

Bonus Points If You Have

  • A degree in Business Administration, Operations, or any related field
  • Experience in a multinational or consulting environment
  • A calm head in chaos and a sense of humor when the coffee runs out
