The Office Administrator plays a key role in support across both sides of the company, financial planning and employee benefits. As the first point of contact for in-person visitors and phone inquiries, this individual ensures a welcoming and efficient office environment. The role requires professionalism, enthusiasm, and the ability to assist clients with kindness and patience. This role requires a strong team player who actively contributes to a positive office culture and collaborates effectively with others to achieve business objectives. Responsibilities include implementing office procedures, managing supply requisitions, and performing clerical duties to support business objectives. The Office Administrator is required to obtain their Life and Health Insurance license to maintain the role. During the first 90 days, they will focus on learning the responsibilities of the position while also preparing for the exam, with study materials and exam fees covered by Kaplan.

Duties

·       Serve as the first point of contact for office visitors

·       Fielding phone calls while maintaining a positive and professional demeanor

·       Prepare conference rooms for client meetings

·       Opening and sorting mail, preparing/shipping overnight packages, and packing supply restocks

·       Maintain Kaplan’s client database (Client 360) and server files

·       Scheduling client birthday e-cards

·       Deliver exceptional customer service, addressing client requests in a timely and accurate manner

·       Establishing client logins, password resets, and login access troubleshooting

·       Attend relevant conferences and maintaining necessary certifications/licenses through ongoing CE

·       Provide administrative support to various departments through tasks such as phone and email communication, document preparation, and other related duties as needed.






Requirements

Bachelor’s degree preferred but not required

2-3 years of office or administrative experience

Job Type: Full-time - Shift availability: Mon-Fri 8:30am-5pm ET

Education: High school or equivalent (Required)

Ability to Commute: Onsite to Rockville, MD 20852 (Required)
