We're seeking a detail-oriented Office Administrator to oversee day-to-day site operations and administrative support for Sarasota our office. Reporting to the Chief Operating Officer, this role ensures the workplace is organized, functional, professional, and well-supported by managing office supplies, mail and package handling, visitor reception, vendor coordination, facility-related requests, office equipment needs, and general administrative support for employees and leadership.
What You'll Be Doing
Office Operations:
- Oversee daily office operations and ensure the site is clean, organized, stocked, and visitor-ready.
- Maintain conference rooms, common areas, kitchen/pantry areas, and shared office resources.
- Help maintain office safety, security, emergency procedures, and visitor protocols.
Facilities & Vendor Coordination:
- Serve as the primary point of contact for office facilities, building management, vendors, maintenance, and service providers.
- Coordinate office repairs, equipment service, supply replenishment, and workspace needs.
- Maintain office inventory, supply budget tracking, and vendor/service records.
Administrative Support:
- Manage mail, shipping, receiving, scanning, filing, and document organization.
- Coordinate with IT, HR, Finance, and Operations on site-related needs.
What You'll Need
- High school diploma or GED required; Associate's or Bachelor's degree preferred
- At least three years of office administration, office management, administrative support, or related experience.
- Extensive knowledge of office management procedures.
- Excellent verbal and written communication skills.
- Execellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Excellent time management skills with proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
- Active Florida Notary or ability to obtain within 90 days.
This role is non-exempt and paid hourly. The hourly rate will correspond with the salary above.
