Job Title : Office Administrator

Salary: $48,750 - $53,820

Description of responsibilities:


  1. Works in the front office, supervises the personnel, and manages clinical appointment scheduling for the agency.

  2. Responsible for the front office personnel schedule.

  3. Answers emails and phone calls to agency, coordinates appointments with customers, ensures documentation is completed in the electronic health care record.

  4. Provides on-going, regular supervision to employees to ensure the following: services delivered are timely, appropriate and effective; the professional development of staff; and agency policy and procedures are enforced.

  5. Responsible for sorting/distributing the agency’s mail and ordering office supplies.

  6. Perform quality work within deadlines with or without direct supervision.

  7. Interact professionally with other employees, customers and suppliers.

  8. Work effectively as a team contributor on all assignments.

  9. Attends meetings as assigned and assists with program coordination as needed.

  10. Ability to adjust hours of work/daily job tasks based on the community needs, including some evenings/weekends.

  11. Provides support by demonstrating an understanding of essential meetings and tasks and effectively assists the President/CEO with prioritizing events/tasks.

  12. Demonstrate impeccable professionalism at all times and ability to maintain confidential matters.

  13. Coordinates meetings and communicates effectively with the Board of Directors; acts as an extension of the President/CEO with the Board of Directors.

  14. Ability to create consistent formatting for reports and documents as needed. Revise, edit and proofread various documents with keen attention to detail.

  15. Attends required meetings and records meeting minutes as assigned. 

  16. Assist with setting meeting agendas and organization of tasks.

  17. Maintains filing for board materials and executive team members as requested.

  18. Maintains and orders supplies, as needed.

  19. Assists with event planning, marketing, and special events, as needed.

  20. Perform special projects and assume responsibilities as assigned.


 

Required skills/education:


  1. High school diploma or equivalent.

  2. Prior experience in the behavioral health field is desirable and supervisory experience is preferred.

  3. Proficient in MS word, Excel, PowerPoint and Outlook.

  4. Must be a proactive, independent and solution-oriented thinker capable of multi-tasking.

  5. Must possess excellent oral and written communication skills.

  6. Must be willing to work flexible hours including evenings.

  7. Completion of iCHAT check, National and State Sex Offender Registry Check.

  8. Must possess knowledge and understanding of Recovery Oriented System of Care and Trauma Informed Services.
