Job Description - Office Administrator

We are seeking a professional, organized, and dependable Office Administrator to support the day-to-day operations of our West Des Moines office. This position serves as a key point of contact for attorneys, staff, clients, vendors, and visitors and assists with office coordination, human resources support, employee onboarding and offboarding, staff issue oversight, meeting and event preparation, and general office administration.

Key Responsibilities

  • Manage and coordinate day-to-day administrative functions for the office, including supplies, equipment, correspondence, vendor coordination, and general office support and organization.
  • Greet and assist visitors, clients, vendors, and other guests and help ensure a professional and welcoming office environment.
  • Serve as a point of contact for internal and external inquiries and route questions or issues to the appropriate person or department.
  • Coordinate client meetings, office meetings, conference room preparation, catering, scheduling needs, and related meeting logistics.
  • Assist with office events, employee functions, and other firm-sponsored activities as needed.
  • Coordinate facility-related needs, including maintenance requests, repairs, office set-ups, cleaning concerns, and communication with building management or vendors.
  • Assist with technology and office resource coordination, including workstation set-up, equipment needs, IT requests, virtual meeting set-up, and basic troubleshooting support.
  • Provide support to Legal Administrative Assistants as needed, including serving as backup during absences or periods of increased workload.
  • Assist with recruiting and applicant coordination, including scheduling interviews, communicating with candidates, and preparing related materials.
  • Assist with employee onboarding and offboarding, including orientation support, workspace preparation, access coordination, documentation, and related communication.
  • Assist with human resources administrative functions, including maintaining appropriate documentation and handling confidential information professionally.

Qualifications

  • Prior experience as an Office Coordinator, Executive Assistant, Office Administrator, or similar role preferred.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Strong organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills with a professional, customer-oriented approach.
  • Professional, dependable and customer-service focused.
  • Strong attention to detail, problem-solving skills, and ability to handle confidential information appropriately.
  • Ability to work effectively with attorneys, staff, clients, vendors, and individuals at all levels of the firm.
  • Ability to exercise good judgment, maintain confidentiality, and handle sensitive staff and office matters appropriately.
  • Strong attention to detail and ability to follow through on tasks.
  • Ability to manage multiple responsibilities and respond to changing priorities.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Problem-solving skills and ability to identify needs, coordinate resources, and communicate issues promptly.
  • High school diploma or equivalent required; additional education or training in office administration or a related field is a plus.

Physical Requirements

  • Ability to sit for extended periods while using a keyboard.
  • Ability to lift up to 20 pounds.
  • Ability to move throughout the office to assist with meetings, visitors, office set-ups, supplies, and other office needs.
