Continental Heavy Civil is looking for an Office Administrator to perform the daily operations. This position is accountable for providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.
Responsibilities:
- Provide administrative support for day-to-day operational tasks.
- Scheduling meetings and sending meeting invites to attendees and doing meeting minutes
- Keeping an inventory of office supplies and ordering new materials as needed
- Prepare and present business-related correspondence.
- Organize digital files and hard copy.
- Provide admin support to field personnel as needed.
- Answer phones.
- Answer the door, receive packages, etc.
- Sort incoming mail and packages
- Prepare outgoing mail
- Prepare bid packages and proposals
- Track key deadlines for bids
- Minor IT tasks, such as setting up new laptops and inventory tracking
- Data entry and validation
- Maintain office email
- Run errands
- Track lien releases, certificates of insurance, subcontracts, etc.
Qualifications:
- High school diploma or equivalent
- Must be able to clear drug screening and E-Verify
- Ability to work independently or as part of a team.
- Bilingual (English and Spanish)
- Efficient time management skills.
- Proficient in Microsoft Office (Word, Excel, Outlook and PowerPoint)
- Proficient in Adobe and Acrobat Pro
- Ability to work independently, self-starter with strong initiative.
- Ability to multitask and prioritize daily tasks competent grammar and conversational skills for e-mails and phone conversations.

Experience:
- Office Assistant: 1 - 3 years’ experience.
License/Certification:
- Driver’s License (Required)
