About the Role:


As our organization continues to grow, we are seeking an experienced administrative professional who can support day-to-day office operations while also providing executive administrative support to senior leadership. The Office & Executive Administrative Coordinator plays a key role in ensuring the smooth day-to-day functioning of our office while enhancing organizational efficiency and professionalism. This position blends front desk reception responsibilities, office and facilities coordination, and executive administrative support.


This is an ideal opportunity for an experienced administrative professional who enjoys being a central point of coordination, thrives in a fast-paced environment, and takes pride in creating structure and organization that enables leadership and teams to operate effectively.


What You’ll Do:



  • Front Desk & Reception

    • Serve as the primary point of contact for visitors and guests

    • Manage incoming calls, mail, deliveries, and general inquiries

    • Maintain a professional and welcoming front office presence



  • Office & Facilities Administration

    • Manage office supply purchasing and vendor coordination (coffee service, office equipment, building maintenance, etc.)



  • Executive Administrative Support

    • Provide administrative support to executive leadership including travel coordination, meeting preparation, and follow-up support.

    • Assist with presentation formatting, document organization, and internal coordination.

    • Over time, develop the ability to serve as a coordination buffer for leadership requests and communication flow.




What We’re Looking For:



  • 5+ years of experience in office administration, office management, or executive assistance experience.

  • Strong organization and prioritization skills in a fast-paced environment.

  • High level of professionalism, discretion, and reliability

  • Excellent verbal and written communication skills

  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint, Word)

  • Ability to manage multiple priorities while maintaining attention to detail
