Job Description - Office Assistant

Position: Office Assistant


Department: Administrative


Reports to: Director of Finance


Location: Office


Employment: Full-time, Exempt


 


Position Summary: 
The Office Assistant provides administrative and clerical support to ensure the efficient operation of the roofing company’s office. This role supports management, sales, production, and service teams by handling daily office tasks, coordinating communication, and assisting with customer service. The Office Assistant is the first point of contact for clients and must maintain professionalism and organization in a fast-paced environment.


Key Responsibilities:



  • Answer and direct incoming calls, emails, and customer inquiries in a professional manner

  • Greet and assist walk-in customers, vendors, and partners.

  • Maintain office filing systems, both digital and physical (permits, contracts, invoices, etc.).

  • Prepare and distribute correspondence, reports, and job documents.

  • May assist with permit applications and tracking with local municipalities.

  • Enter and update customer information in the CRM system.

  • Process incoming and outgoing mail, deliveries, and packages.

  • Support accounting with invoicing, payments, and basic bookkeeping tasks.

  • Order and maintain office supplies and company forms.

  • Assist production managers with project documentation, warranty paperwork, and follow-up.

  • Ensure compliance with company policies, safety requirements, and Florida roofing regulations.


Qualifications:



  • High school diploma or equivalent (Associate’s degree preferred).

  • Previous administrative or office assistant experience (construction or roofing industry experience a plus).

  • Strong computer skills (Microsoft Office Suite, Google Workspace, CRM systems).

  • Excellent communication and organizational skills.

  • Ability to multitask and prioritize effectively in a fast-paced environment.

  • Customer service-oriented with a professional demeanor.

  • Knowledge of permitting processes in Florida (preferred but not required).



Compensation Package:



  • Competitive hourly wage or salary based on experience.

  • PTO

  • Paid holidays


Work Schedule:



  • Standard work week: Monday – Friday 8:00AM to 5:00PM


Physical Requirements:



  • May include prolonged periods of sitting at a desk and working on a computer.

  • Frequent use of hands and fingers to operate computers, phones, and other office equipment.

  • Ability to occasionally lift up to 20 pounds.

  • Must be able to communicate clearly, both verbally and in writing.

  • Occasional travel may be required for meetings or events

  • Ability to move throughout office or event spaces, including standing or walking for extended periods during presentations or trade shows.

  • Must have sufficient visual acuity and hearing to safely assess job sites, identify hazards, and communicate effectively with field teams and clients.
