Job Description - Office Assistant


Flatrock is seeking a highly organized and professional Office Assistant to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing various administrative tasks. This role requires a blend of clerical skills, customer experience, and a friendly demeanor to create a welcoming environment.

Duties and Responsibilities:  
  • Welcome & greet visitors 
  • Answer, screen, and forward incoming phone calls.   
  • Ensure the reception area is tidy and presentable. 
  • Maintain & oversee Oakley office supplies and keep inventory of stock 

Perform other clerical receptionist duties such as: 
  • Filing 
  • Photocopying
  • Faxing
  • Order and distribute Flatrock apparel for new hires and current employees 
  • Complete finger printing for all scheduled appointments   
  • Assist with preparing for companywide meetings 
  • Oversee spreadsheets for various projects 
  • Use various software, including word processing, spreadsheets, databases, and presentation software 
  • Prepare and format information for internal and external distribution 
  • Assist the CSA team with any Oakley or companywide events and supplies 
  • Maintain a positive, open, and supportive relationship with all management and staff 
  • Work closely with HR assistants and Executive Assistant on any other task as assigned  
  • Maintain and advocate for all Flatrock residents’ rights 
  • Complete any additional tasks assigned by HR Director 

Qualifications:  
  • High School Diploma or GED 
  • Must possess excellent organizational and time management skills 
  • Must have reliable transportation 
  • IdentoGO fingerprinting experience, preferred
