Job Description - Office Assistant

James & Whitney Co. is looking for an Office Assistant to join our team! At James & Whitney Co. our focus is always on our clients, we strive to provide the best customer service possible no matter the job. We are Maine’s premier exteriors and construction company committed to becoming Maine’s number one Roofing & Exteriors company. 

 

We value hard-working, reliable, independent and proactive individuals who are not afraid to take on any challenge and strive to exceed expectations. This role plays an important part in communicating effectively with future and current clients and supporting our team so they can focus on their day-to-day tasks. Previous experience with reception is a plus! 


 

What you need to have:

  • High school diploma or GED 
  • A bachelors or associates degree in business, administration, or a related field (Preferred, but not required). 
  • 2 or more years’ experience in office administration or personal assistant. 
  • A friendly and positive demeanor 
  • Ability to manage time independently and prioritize tasks with minimal supervision.
  • Outstanding written and verbal communication skills
  • Exceptional customer service & networking skills
  • Strong computer skills with the ability to learn new programs quickly
  • Comfortable handling confidential information
  • Excellent multi-tasking and time-management skills, with the ability to prioritize tasks and take direction from others.

 

Office Assistant Responsibilities: 

  • Greet customers
  • Welcomes visitors, answers phone calls, and solves any customer issues.
  • Input leads & collect data for our CRM 
  • Create documents with department managers on an as needed basis
  • Managing correspondence among team members, owners and managers as needed
  • Makes sure that the office runs smoothly and efficiently by keeping track of deadlines, appointments, schedules, and other important information. 
  • Assist employees as needed with scheduling appointments with clients
  • Interoffice communications 
  • Oversee and assist with additional administrative tasks
  • Maintaining Office Supplies
