Job Summary
We are seeking a reliable and organized Office Assistant to support daily administrative and operational activities in our architecture firm. This role is ideal for an entry-level professional interested in the architecture, design, or construction industry. The Office Assistant will help ensure smooth office operations and provide administrative support to architects, designers, and project managers.
Key Responsibilities
Answer and direct phone calls, emails, and office inquiries professionally
Greet visitors and manage front-desk activities
Assist with scheduling meetings, appointments, and conference rooms
Organize and maintain digital and physical filing systems
Perform data entry and document management
Assist project teams with basic administrative tasks (printing, scanning, compiling documents)
Handle incoming and outgoing mail, deliveries, and office supplies
Maintain a clean, organized, and professional office environment
Support office events, meetings, and internal coordination
Perform other administrative duties as assigned
Required Qualifications
High school diploma or equivalent (Associate’s or Bachelor’s degree is a plus)
Strong organizational and time-management skills
Basic computer proficiency (Microsoft Word, Excel, Outlook, Google Workspace)
Clear written and verbal communication skills
Ability to multitask and work in a fast-paced office environment
Professional demeanor and attention to detail
Preferred Qualifications
Previous office or administrative experience (internship or part-time acceptable)
Interest in architecture, design, or construction industry
Familiarity with office equipment (printers, scanners, copiers)
Basic understanding of project documentation is a plus (not required)
