Office Assistant 3, Receptionist 

Department: Executive Services

FLSA Status: Non-Exempt

TS Range:   5/6 ($21.30)

Opening Date:  April 11, 2025

SUMMARY: The Receptionist serves as the first point of contact for the Tribal Administration Building, providing professional and friendly customer service to visitors and callers. This role is responsible for answering and directing calls using a multi-line phone system, greeting and assisting visitors, and maintaining a clean and welcoming reception area. Additionally, the Receptionist provides administrative support to the Executive Team. Attendance and punctuality are essential for this position.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

Front Desk & Customer Service: Arrive on time daily and unlock main entrance doors; answer, screen, and direct calls using a multi-line phone system; greet visitors in a professional and friendly manner, directing them to the appropriate staff or department, respond to general inquiries and provide information as needed.

Reception Area Maintenance: Ensure the reception area is clean, organized, and presentable at

all times; manage office supplies for the departments and maintain an inventory. 

Administrative Support: Assists the Executive Team in various tasks as needed; may be asked to assist other departments with tasks periodically; sort, log and notify recipients of incoming mail and deliveries; schedules for the use of Tribal vehicles; assists with weekly bulk mail processing.

SUPERVISORY RESPONSIBILITIES: This position has no supervisory responsibilities.

QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty. The requirements listed below are representative of the knowledge, skill, and/or ability required. The successful applicant must be consistently at work and on time; Possess strong communication and interpersonal skills with a welcoming demeanor; have experience handling a multi-line phone system; ability to multi task and manage front desk responsibilities efficiently; proficiency on Microsoft Office Suite and office equipment and possess the ability to work independently and as part of a team.

LANGUAGE SKILLS: Ability to read and comprehend simple instructions, short correspondence and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, another other employees of the organization.

MATHEMATICAL SKILLS: Ability to add and subtract two digit numbers and to multiply and divide with 1O's and 1OO's. Ability to perform these operations using units of American money and weight measurement, volume and distance.

REASONING ABILITY: Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations.

While performing the duties of this job, the employee will regularly be required to sit, and talk or hear; and is frequently required to use hands to finger, handle or feel and reach with hands and arms; and occasionally required to stand, walk, climb or balance, stoop, kneel, crouch or crawl. This position may occasionally require lifting up to 50 pounds. Specific vision abilities required by this job include close vision, i.e. clear vision at 20 inches or less; peripheral vision (ability to observe an area that can be seen up and down or to the left and right while eyes are fixed on a given point) and an ability to adjust focus (ability to adjust the eye to bring an object into sharp focus).

OTHER: Casual business attire is required for this position.

INDIAN PREFERENCE: Indian Preference will be exercised in the hiring of this position in accordance with the Tribe's Personnel Policies.

Requirements

 EDUCATION and/or EXPERIENCE: AA and one year OR High school diploma or equivalent and 3 years of experience.
