CLEANERIFIC is a growing, high-quality residential and commercial cleaning company based in San Francisco. We pride ourselves on exceptional customer care, reliability, and supporting our field team. We are looking for an organized, dependable, and proactive Office Assistant to join our local office team and help coordinate day-to-day operations.

Location: San Francisco, CA (On-Site)

Pay Range: $23.00 – $28.00 / hour (Depending on Experience)

Job Type: Part-Time (90-Day Probationary Period) -> Transitioning to Full-Time upon successful review

Initial Schedule: Monday – Friday | Part-Time Hours [9:00 AM – 1:00 PM or 20 hrs/week]

Full-Time Target Schedule: Monday – Friday | 8:00 AM – 5:00 PM (40 hrs/week, 1-hour lunch)

Tasks

Key Responsibilities & Duties

1. Communication & Field Support

  • Serve as the primary contact for field technicians, answering questions, passing along job instructions, and resolving on-site access issues.
  • Translate client preferences, specialized notes, and property access details into clear daily instructions for cleaning teams.
  • Assist management with onboarding, paperwork, and training materials.

2. Dispatch & Schedule Management

  • Confirm morning field team check-ins and track daily job completions in real time.
  • Timecard & Attendance Auditing: Review employee daily clock-in/clock-out times in field management software to verify accurate hours worked.
  • Manage scheduling, client bookings, and route optimization across San Francisco and surrounding areas using field management software.
  • Handle last-minute schedule changes, cancellations, and technician call-outs with composure.

3. Billing, Banking & Financial Administration

  • Payroll Processing: Process regular payroll cycles, and address pay or attendance discrepancies.
  • Accounts Receivable & Check Postings: Generate daily invoices, receive and post check payments directly to client accounts, and process credit card transactions.
  • Bank Deposits & Reconciliation: Prepare physical check deposits, perform routine bank deposits, and track basic account transactions for management review.
  • Follow up on outstanding balances and send polite payment reminders to clients.

4. Client Relations & Office Support

  • Answer incoming client calls and emails in a warm, professional manner.
  • Provide quick quotes, schedule estimates, and follow up with clients post-service to collect reviews or resolve concerns.
  • Maintain accurate client files, property access notes, and general office logs.

Requirements

Qualifications & Requirements

  • Language: Bilingual in English and Spanish is preferred.
  • Location: Must be able to reliably commute to our San Francisco office daily (Bernal Heights/Noe Valley area).
  • Experience: 1–2+ years of administrative, dispatch, customer service, or office support experience (field services or home service industry experience is a big plus).
  • Tech Skills: Proficiency with dispatch/scheduling software and basic office software (Google Workspace).
  • Skills: Strong organizational abilities, sharp attention to detail, and a calm, problem-solving mindset under pressure.
