Job Description - Office Assistant, Parking - OTJ

Overview
Provides comprehensive operational and administrative support for parking services, including application processing, prompt response to phone and email inquiries, and maintaining accurate, up-to-date website content. Helps ensure a smooth day-to-day operation by facilitating timely communication and coordination among all departments and stakeholders. Deliver responsive, customer-focused service while addressing inquiries and resolving issues in a timely manner.
Monitor and analyze key metrics and KPIs to assess parking utilization, capacity, and availability, using data to inform operational decisions. Oversee parking waitlists, determining eligibility and timing for assignment based on availability and usage trends. Coordinate contractor parking requests and collaborate with project managers to track assignments, maintain accurate records, and ensure billing information is current. Support billing processes and reconciliations by applying a basic understanding of financial and accounting principles.
Other related duties as required.
Principal Responsibilities
• Assist with the collection and analysis of metrics & KPIs to track parking utilization, capacity, and availability which helps make operational decisions
• Oversee parking waitlist and use data to determine when individuals can be added to a location.
• Works with Project Managers and contractors to coordinate parking and track assignments & usage.
• Assist with office administration, such as processing applications, answering phones, and responding to emails in a timely manner.
• Applies basic financial & accounting knowledge to assist with billing processes and reconciliations.
• Keeps website up to date and ensures all information listed is accurate.

Required Skills and Abilities
• Excellent computer skills with proficiency in Microsoft Office (Word, Excel, PowerPoint) and the ability to adapt to new software systems.
• Strong organizational skills, attention to detail, and the ability to prioritize and manage multiple tasks with competing deadlines. Demonstrated ability to work independently and as part of a team.
• Excellent verbal and written communication skills, with a proven ability to interact professionally with faculty, staff, and external contacts.
• Highly developed customer service skills, with the ability to represent the department and university professionally. Demonstrated ability to maintain confidentiality and handle sensitive information with discretion.
• Ability to problem-solve, take initiative, and follow through on tasks.
• Ability to work with data to support analysis and inform decision-making.


Preferred Skills and Abilities

Principal Responsibilities

1. Provides specialized information on administrative, academic, financial aid, and procedural matters to students, prospective students, faculty, and staff. 2. Assists staff, faculty and students with the completion of forms. Identifies and resolves errors through contact with students and University departments. Maintains logs and records of activities. 3. Compiles statistical data and information. Establishes and maintains filing systems. 4. Uses computer terminal to input and retrieve data. Merges and manipulates filing systems. Monitors and reconciles financial data. 5. Keyboards letters, memoranda and other materials. Composes general written material. 6. Schedules and coordinates conferences, meetings, appointments, and classrooms. 7. May oversee and instruct support staff. 8. Performs clerical functions incidental to office activities.

Required Education and Experience

Four years of related work experience, two of them in the same job family at the next lower level, and high school level education; or two years of related work experience and an Associate's degree; or an equivalent combination of experience and education.
