Job Description - Office Associate

We are an organization of professional painting contractors specializing in beautifying homes and buildings; interiors, exteriors, commercial, offices, and condominiums. Position Overview:

Provide support to the following functions: Marketing, Sales, Production, Financial, Administrative, Human Resource and Business Development.

Responsibilities:

Answer office phone and redirect customer questions or concerns.

Schedule estimates for Sales Associates.

Manage production calendar - calling customers to set date, assigning crews to job, etc.

Order paint and materials, if needed.

Daily communication with crews through job progression.

Conduct follow ups with customers, including after job completion.

Maintain inventory of office supplies and apparel.

Manage paperwork for new hires and terminated employees.

Help plan production meetings with crews and staff.

Handle other administrative tasks when needed.

Some work in QuickBooks may be required.

Perform marketing tasks as needed - job site photos, social media posts, etc.

Qualifications/Certifications:

High school diploma or GED

College degree a plus

Experienced with social media

Organized and detailed oriented

Knowledge of Microsoft Office packages

Proficiency in QuickBooks (preferred)

Excellent verbal and written communication skills

Excellent organizational and time management skills

1 to 3 years of office work experience (preferred)
