Job Description - Office Coordinator

Description

The office coordinator responds to, or redirects, routine to complex inquiries from external or internal sources about the organization, its activities, or processes so callers/visitors are answered promptly and accurately. Must have an outstanding personality and understand the value of exceptional customer service.

Duties and Responsibilities: 

  • Greeting guests and visitors, ensuring a positive first impression; Receive and direct visitors
  • Answer and route calls from the main 1-800 number professionally and efficiently
  • Open and set up new customer accounts as needed
  • Schedule and manage bookings for conference rooms
  • Assist with various special projects and administrative tasks as assigned
  • Complete office purchases and ensure office supplies are maintained 
  • Handle some Accounts Receivable and Accounts Payable
  • Develop and maintain filing system
  • Produce and distribute memos, letters, faxes, and forms
  • Handle all incoming and outgoing mail, postage, shipments, and deliveries
  • Assist and set up special events, meetings, and lunches
  • General Clerical duties such as answering phones, copying, filling, etc
  • Other duties, as assigned

Requirements

Education and Experience Required:

  • HS Diploma or GED Equivalent from an accredited institution
  • Knowledge and experience with Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Ability to maintain confidentiality and handle sensitive information
  • Ability to work independently safely & efficiently and to follow safety policies & procedures

Preferred Education, Experience, and Skills:

  • Effective written and verbal communication skills 
  • Strong organizational skills
  • Prior experience in an administrative or front desk role is a plus
  • High level of accuracy and attention to detail

Physical Requirements: Qualified candidates must be able to perform the following physical job requirements, with or without reasonable accommodation:

  • Must be able to lift up to 25 pounds for 1+ hours per day 
  • Must be able to sit for 7+ hours per day
  • Must be able to walk for 1+ hours per day
