Job Description - Office Coordinator

PJI Law, PLC, a boutique, busy, and fast-growing Virginia law firm, has a new full-time opportunity for an Office Coordinator for its new Richmond location. Our firm has recently expanded into the Richmond market in order to build on its success in its northern Virginia headquarters, and this Office Coordinator position is ideal for a go-getter with a strong work ethic, and with a desire to be part of our Richmond success story!



Our firm exists to help those who wish to obtain legal protection and security for their families, sometimes in the wake of a personal, professional, or financial loss. This position plays a critical role in ensuring that both our clients and team members are treated as our top priority. 



As an Office Coordinator, you would manage critical business workflows related to reception, office operations, information technology and some legal support. Given the nature of this position, you would report to our Richmond office five days a week. The core responsibilities of this position include, but are not limited to the following:




  • Partner with the Office Operations Manager to ensure efficient office operations, including policy implementation, facilities upkeep, vendor coordination, inventory management, workspace readiness, and support for employee and client experience initiatives.

  • Delivering exceptional front-desk support by warmly greeting clients and guests, managing beverage service, handling payments, coordinating mail and deliveries, maintaining clean common areas, and preparing conference rooms for meetings.

  • Providing administrative support to the legal team by managing document processing and mail handling, delivering/retrieving courthouse filings, preparing client consultation materials, and serving as a signing witness.

  • Act as the primary liaison for in-office IT support, troubleshooting technical issues, maintaining hardware and systems, providing basic tech training to team members, and coordinating with external IT providers to ensure system functionality and reliability.

Position Requirements:



  • This role is based out of our Richmond, VA office (in-person five days a week).

  • Excellent computer skills and an ability to leverage new software quickly.

  • Strong personal initiative - a self-starter who acts promptly and with a sense of urgency.

  • Excellent communication skills - both written and verbal.

  • Excellent organizational and project management skills.

  • Strong attention to detail and ability to closely follow established policies and procedures.

  • Ability to multitask, be flexible, think on your feet, adapt to change and to changing priorities, and make decisions based on good common sense.

  • Ability to work independently and as part of a team.

  • Ability to move objects that weigh 30-35 lbs across the office.



Preferred Qualifications:



  • 1+ years experience as an office coordinator or similar position.

  • 1+ years experience with IT/software system administration or a strong interest in learning how to leverage different technologies.

  • Proficiency in the use of Google Workspace and the Microsoft Office Suite.

  • Experience in a legal environment is a big plus.



Compensation is in the range of $52,000 - $59,000 a year depending on experience and including bonus potential.
