Job Description - Office Coordinator

The Firm
Paradigm is a San Francisco-based investment firm focused on crypto and blockchain-related technologies across the globe. We make investments in companies and protocols at all stages including early-stage venture financing rounds, growth equity, and liquid token assets.  Paradigm was co-founded in 2018 by Matt Huang (former partner at Sequoia Capital) and Fred Ehrsam (co-founder of Coinbase). We are building a world-class team to support our portfolio and the crypto ecosystem globally. At Paradigm, we believe that crypto will redefine money, finance, and the internet itself. This technological revolution will have a fundamental and long-lasting impact on the global economy. 

The Role

We’re looking for an Office Coordinator to support the working environment for the brilliant minds of Paradigm’s NY office which hosts our Portfolio companies. This person would be responsible for day to day office operations including vendor management and ensuring a safe and productive working environment. We expect someone in this role to be a self-starter, display a high degree of professionalism, the ability to exercise good judgment and bring a problem solving approach to any challenge.

This person would join our high-performing admin team, reporting into People Operations. The admin team today serves as the air traffic control group that helps Paradigm succeed, in addition to being guardians of Paradigm’s team culture.

While Paradigm is a hybrid firm, with employees coming in Monday-Wednesday, this role would be expected to be onsite Monday through Friday. 

Responsibilities:

  • Coordinate with property management, facilities and other office-related vendors to ensure a safe and well-maintained work environment. Timely processing related work orders, and ensure follow-up

  • Serve as a liaison between the SF Office and NY Building Management.

  • Coordinate with the IT department.

  • Manage visitor access and greet them upon arrival: we frequently meet with founders of our portfolio companies who are important to our business, and so first impressions are crucial.

  • Receive and sort incoming mail and deliveries, and manage outgoing mail

  • Manage office supplies inventory and place orders as necessary

  • Stock, maintain and order snacks and beverages for the office

  • Develop office policies and procedures, and ensure they are implemented appropriately

  • Identify opportunities for process and office management improvements, and design and implement new systems: think outside the box and set the standard for expansive thinking. 

  • Manage and support requests from employees and Portfolio employees with a positive attitude

Qualifications:

  • Bachelor’s degree and relevant work experience 

  • Strong organizational skills & ability to multitask

  • Evidence of grit: the ability to adapt and overcome in rapidly changing situations

  • Excellent written and oral communication; diplomatic and professional demeanor at all times

  • Fluent in Google office platforms and Microsoft Office, with a proven ability to manage time efficiently and prioritize multiple stakeholders, functions, and tasks

  • High levels of integrity and discretion
