Job Description - Office Coordinator

Position Summary:


The Office Coordinator supports daily office operations, workplace technology needs, and front-office administrative functions. This role helps ensure a professional, efficient, and welcoming environment for employees, clients, and visitors. The Office Coordinator provides entry-level technology support, administrative coordination, and reception coverage, while also assisting with company events and employee engagement initiatives.



Key Responsibilities:



  • Perform front desk responsibilities, including welcoming employees, clients, guests, and vendors in a professional and courteous manner, and managing incoming phone calls and visitor coordination.

  • Assist with shipping and receiving functions, including processing incoming and outgoing mail, deliveries, and courier services.

  • Provide document support for in-office, hybrid, and remote staff, including printing, scanning, and general document handling.

  • Assist with office, printer, and breakroom supply inventory, coordinating ordering and restocking as needed

  • Support general office operations by helping maintain an organized, professional, and welcoming workplace environment.

  • Assist with administrative and operational support for the Management Team, including scheduling meetings, coordinating calendars, and supporting travel arrangements as requested.

  • Support company events, internal initiatives, and employee engagement activities as needed.

  • Provide basic IT configuration and troubleshooting support for office equipment and workstations, assisting internal help desk or external IT vendors when necessary.

  • Perform other duties, as assigned.



Qualifications:



  • Associate’s degree or equivalent professional experience required.

  • 1–3 years of experience in office coordination, administrative support, IT support, or a related role preferred

  • Basic knowledge of computer hardware, software installation, and troubleshooting

  • Strong organizational, time management, and multitasking abilities

  • Excellent verbal and written communication skills

  • Proficiency with Microsoft Office Suite and general office technology systems

  • Ability to manage confidential and sensitive information with professionalism and discretion.

  • Professional demeanor, positive attitude, and strong team-oriented mindset

Schedule: 



  • Full-time, Non-Exempt (eligible for overtime in accordance with applicable law)

  • Standard schedule of 8-hour daytime shifts

  • Monday through Friday



Work Location: 



  • In-person position based in the Syracuse, NY office.
