Role Summary

The Workspace Operations (Facilities) Coordinator is a fundamental role that manages the support we provide at our Global Workspaces and to our Global Workforce.

Location: Lombard (Chicago), Illinois

Remote Options: 100% Onsite

What You’ll Be Doing

Provide professional customer service responses to inquiries from employees, vendors, and visitors in a timely manner.

Provides general facilities support services including continuous monitoring of office services and functionality.

Implement vendor contracts to ensure high quality performance of required services.

Coordinate workspace modifications and relocations, to include planning, execution, and completion.

Properly and effectively administers and maintains all Security, Fire Life Safety, Risk Assessments and Health & Safety systems.

Coordinate accounting review, approval and payment process for workspace related spend

Coordinate procurement process for company assets, furniture, and supplies for specific workspaces and workforce.

Partners with IT, HR and Other Support teams to effectively support the workspaces and workforce globally.

Coordinates all deliveries and shipping requests in specific workspaces, liaison with logistics.

Responsible for ensuring that outgoing shipments are adequately packaged and meet Anuvu quality requirements per ATA 300 Spec

Responsible for Record Management coordination with on-site/off-site storage for specific workspaces.

Assist Global Workspace Director with tactical planning related to department goals and objectives.

Posts and shares information with the workforce on company intranet, shared drives, and social sites.

Physical Requirements: While performing the duties of this job, the mobility for the employee regularly requires sitting, frequent near vision use for reading and computer, lifting, stooping, bending, stretching, walking, standing, pushing, pulling, reaching and other physical exertion.

The employee is regularly required to talk and hear.

Lifting and/or carrying of up to 25 lbs.

What We’re Looking For

3+ years of over all relevant work experience

Proficient in MS Office Suite, and possess strong written, verbal and people skills

Must be proficient at Excel Spreadsheets and have capability of customizing administrative reports

High Customer Service capabilities

Respect for Discretion and Confidentiality

Highly skilled in Finance and Accounting processes

Extremely knowledgeable of Facilities, Security, and Health & Safety

Excellent communications and follow-up

High-Level organizational skills and multi-tasking capabilities

Creative and outside the box thinker

Positive attitude and sense of humor

The anticipated starting salary range for individuals expressing interest in this position is $ 20/hour- $24/hour . Actual compensation will depend on factors such as location, experience, skills, certifications…etc.
