Maxwood Furniture is a rapidly growing furniture company with an expanding portfolio of brands such as Max & Lily, Plank + Beam, and Maxtrix. Since launching over two decades ago, we have established multiple sales channels including our DTC websites and third-party marketplaces. Position Overview

We are seeking a highly organized and proactive individual to join our team as an Office Coordinator & Personal Assistant. In this hybrid role, you will be responsible for ensuring the smooth operation of the office by managing supplies, scheduling maintenance, organizing lunches, and handling travel arrangements. Additionally, you will assist with personal tasks related to the employer's family, including coordinating activities for children. The ideal candidate will be a self-starter, detail-oriented, and able to juggle multiple tasks efficiently in a fast-paced environment.

Office Coordination:

  • Order and maintain office supplies, groceries, and other necessary items.
  • Schedule and track regular maintenance and repairs for the office space, liaising with the leasing company and contractors as needed.
  • Organize lunches, snacks, and catering for meetings or events.
  • Plan and coordinate domestic and international travel for employees or executives, including booking flights, accommodations, and transportation.
  • Establish and maintain relationships with vendors, ensuring timely deliveries and resolving any issues with supplies or services.

Personal Assisting Duties:

  • Provide assistance in managing children's activities, including arranging transportation to and from school, extracurricular activities and appointments.
  • Coordinate personal errands, shopping, and appointments related to the employer's family.
  • Assist with calendar management for both work and personal events, ensuring smooth integration of professional and family commitments.
  • Offer general administrative support for personal tasks as required, including organizing events, coordinating vehicle repairs & maintenance, and other duties as assigned.

Requirements

  • Proven experience in office coordination, personal assistance, or administrative support.
  • Strong organizational skills and attention to detail.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Excellent communication and interpersonal skills, with a friendly and professional demeanor.
  • Discretion and the ability to handle confidential information with integrity.
  • Familiarity with office software (e.g., Microsoft Office, Google Workspace) and basic project management tools.
  • Experience with children's coordination or family-related tasks is a plus.
  • Flexibility and willingness to adapt to changing priorities.
