Job Description - Office Coordinator- Deerfield

Founded in 1982 as Joliet Area Community Hospice, Lightways Hospice and Serious Illness Care is an independent, nonprofit healthcare provider licensed in 11 counties in northwest Illinois.  We provide exceptional serious illness care, hospice care and grief support for adults and children.


The majority of our direct patient care is in the field with Lightways team members providing care in the home, nursing facility or assisted living facility.  We also have a 24-bed inpatient unit in Joliet.  Non-clinical staff are based out of our Joliet administrative offices.



Office Coordinator


The Office Coordinator serves as an initial point of contact for staff, visitors, vendors, volunteers, patients, families, and other members of the public. The position provides reception clerical and office organizational support; directs visitors The Office Coordinator performs these duties with professionalism, confidentiality, accuracy, and a commitment to quality patient care.



Key Responsibilities:



  • Front Desk & Visitor Management: Serve as the primary point of contact by welcoming visitors, vendors, and volunteers; maintain accurate digital/physical sign-in logs and uphold basic safety protocols.

  • Mail & Delivery Logistics: Coordinate incoming and outgoing shipments (UPS, FedEx, daily mail) by sorting, organizing, and routing deliveries to the appropriate departments.

  • Inventory & Supply Chain Oversight: Manage and stock office supplies, Durable Medical Equipment (DME), and the medical supply room, ensuring inventory levels, safety standards, and compliance guidelines are met.

  • Administrative & Clerical Support: Deliver general administrative assistance across departments and utilize organizational software (e.g., MatrixCare, ADP, Microsoft Teams, Relias, TigerConnect) in alignment with company policies.

  • Organizational Knowledge & Safety: Maintain a thorough understanding of Lightways Hospice services and activities to accurately assist callers/guests while ensuring a clean, safe, and compliant environment.


 


Education/Experience:



  • High school diploma or equivalent required.

  • At least three years of clerical or administrative support experience preferred.

  • Proficiency with Microsoft Office Suite, including Excel, and the ability to learn job-related systems.

  • Excellent verbal and written communication, customer service, and public relations skills.
