Kids Junction is seeking an experienced and professional Office Manager to join our team. This position will be responsible for providing administrative support to center Administration and Directors through general office management and organization responsibilities. This position will be expected to interact professionally with the children, families and staff. This position will also support the center through general non-administrative duties.
Kids Junction Learning Center is a Christian, state licensed learning center offering a rich preschool experience as well as child care services. We provide nurturing child care for infants and toddlers. Within our preschool curriculum we offer language arts, math, science, character building, physical education, field trips and exciting enrichment programs. Our school-age program provides afterschool care for children from many area schools. Additionally; we have a large summer camp program for kids entering kindergarten through 14 years old.
Kids Junction Preschool’s mission is to partner with families to establish patterns of life-long development in mind, body and Christian character during a child’s most formative years. In order to do this, we have created the best environment possible with a state-of-the-art facility and quality teachers in Madison WI, as well as a custom curriculum we created using the top learning resources and curricula available to deliver an all-encompassing learning experience.
Key Responsibilities:
Answer calls and greet visitors in a professional, courteous, and timely manner and provide general information and answer requests, or direct them to the appropriate person.
Maintain all child files for the center for current, future, and past children; follow up with families, as needed, for any missing documents; monitor and update allergy lists for all children at the center; ensure required medications for children are processed regularly and stored properly.
Oversee the ProCare Engage system daily ensuring staff and children are accurately checked in and follow up with staff/parents as needed; assist new families with setup in the system; review and approve pictures entered into the system by staff.
Maintain logs for licensure procedures, medicine administration, accidents, lunch counts, bus sheets.
Maintain and organize general office spaces, which includes, but is not limited to bulletin boards, stocking office supplies, signage, parent resources, etc.; maintain and clear the lost and found on a consistent basis.
Assist billing department with accounts receivable; serve as the main back up for any billing needs.
Assist center Directors with inventory management and ordering of diapers and other classroom supplies.
Call families for sick children when determined by Administration the child should be sent home
Assist with bathroom breaks for teachers, as needed
Qualifications:
High School diploma, or equivalent; Associate's degree in office administration or business management preferred
5-10 years of related work experience with progressive responsibilities in a professional office setting
Experience providing administrative and/or logistical support in a childcare, daycare, or education setting preferred
Proficient in Microsoft Office applications and willingness to learn other applications
Ability to foster teamwork and thrive in a collaborative environment
Excellent written and verbal communication, portraying a high degree of professionalism
Strong customer service skills
Demonstrated adaptability with skills to pivot and multi task when needed
