We are looking for an Office Manager to organize and coordinate administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and safety.

Office manager’s duties and responsibilities include scheduling meetings and appointments, making office supplies arrangements, greeting visitors and providing general administrative support to our employees. 

Previous experience as an Office Manager or Office Administrator in the oil and gas industry would be an advantage. A successful Office Manager should also have experience with a variety of office software (email tools, spreadsheets, and databases) and be able to accurately handle administrative duties.

Ultimately, the Office manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.

This position reports directly to the General Manager over our five operating companies in Midland Texas.

Job Summary:

The Office Manager oversees and manages the day-to-day administrative functions of our oil and gas companies' offices, ensuring smooth operations, efficient workflows, and compliance with industry standards. 

Supervisory Responsibilities:

· Oversees the daily work activities of the office.

· May assist with discipline and termination of employees following company policy.  

Duties/Responsibilities:

  • Administrative Support:
    • Scheduling meetings and appointments. 
    • Managing office supplies and equipment. 
    • Greeting visitors and providing general administrative support. 
    • Maintaining office records and filing systems. 
  • Office Operations:
    • Coordinating administrative staff. 
    • Ensuring the office environment is clean, organized, and functional. 
    • Managing office budgets and expenses. 
    • Handling vendor relationships and contracts. 
  • Staff Support:
    • Supporting the GM, Executives, and staff with administrative tasks. 
    • Addressing employee concerns and issues. 
    • Training new employees on office procedures and new hire training. 
  • Communication and Leadership:
    • Communicating effectively with staff, clients, and vendors. 
    • Resolving conflicts and problems. 
    • Leading and motivating administrative staff. 
    • Implementing and managing office policies and procedures. 
  • Record Keeping: Maintain accurate and organized records, including contracts, permits, and other important documents. 
  • Project Management: Assist with project planning, implementation, and monitoring, ensuring projects are completed on time and within budget. 
  • Data Management: Maintain and manage databases and other information systems, ensuring data accuracy and integrity. 
  • Performs other related duties as assigned.

Education and Experience:

· High school diploma or equivalent required; Associate’s degree in office administration or related field preferred.

· At least three years of administrative and clerical experience is required.

· At least 3 years of office administration experience in the Oil and Gas Industry.

Physical Requirements: 

· Prolonged periods sitting at a desk and working on a computer.

· Must be able to lift up to 15 pounds at times.
