Job Description - Office Manager

We are looking for an Office Manager (Bilingual preferred) at Hope Academy of West Michigan.



Hope Academy is a general PK - 12th grade charter school in Grand Rapids, MI serving a large population of ELL and Title I qualifying students.

GENERAL PURPOSE:


To provide for smooth daily operation of the school by providing direct clerical support and assistance to the School Principal in addition to supporting to the school’s teachers, students, and parents. Subscribe to the vision, mission and values of Integrity Educational Services and the Academy.



ESSENTIAL FUNCTIONS:



  • Must be bilingual in English and Spanish.

  • Must be self-motivated, be able to multi-task, be able to stay calm under pressure, and delegate tasks under pressure.

  • Must be comfortable with office technology including Google suite.

  • Enroll and accurately maintain students in PowerSchool in coordination with IES Central Office Pupil Accounting Coordinator.

  • Responsible for cash handling and managing invoices.

  • Keep office, school supplies, textbooks including but not limited to Title Purchasing and Inventory as needed.

  • Assist principal with communications, enrollment referrals, and a variety of other paperwork duties as needed.

  • Responsible for daily student attendance follow up.

  • Responsible for assuring students immunization records are on file for each of the students at a minimum rate of 95%.

  • Responsible for the daily operations of the office.

  • Responsible for posting Board Agenda and meeting minutes for Integrity Educational Services Board as needed.

  • Work closely with the Compliance Coordinator to assure 100% accurate and timely EpiCenter document completion.

  • Responsible for enrolling staff members in approved Professional Development and Training.

  • Attend appropriate training, maintain medication logs and dispense medication as prescribed. Maintain AED, Epipens and other first aid items as required.

  • Assist with setting up and securing enrollment appointment, as needed.

  • Assist with obtaining and keeping up to date student CA 60s.

  • Take referrals of new students, answer basic questions about the program, send out enrollment packets, and route/schedule intakes as required.

  • Responsible for setting up and monitoring the building system for traffic in and out of the building.

  • Assist the Principal with data entry for program evaluation.

  • Schedule and attend school related activities including but not limited to: field trips, family dinners, school-related events with student/families, conferences and parent conferences.

  • Perform all other duties, as assigned.



MINIMUM REQUIREMENTS: The minimum qualifications needed to perform the essential functions of the job such as education, experience, competencies, knowledge and skills are listed below.



Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, ability or competence required.



Education and/or Experience: Experience working in/managing a school office. Associate's degree, preferred.


Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to students, parents, and other employees of the organization. Ability to speak and read Spanish is required.



Mathematic Skills: Ability to do simple computations, calculate percentages, and use a calculator.


Reasoning Ability: Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving a few concrete variables in standardized situations. Ability to apply verbal de-escalation skills as part of crisis intervention.



Computer Skills: Knowledge of Google and/or Microsoft applications and/or willingness to learn needed computer skills specific to this position.



Training: Must participate in and complete annual training, Professional Development, and various other training as deemed appropriate for position.



Other Qualifications: Must pass criminal history records search, physical and drug screen, if required.

Work Environment: The work environment characteristics described here are representative of those an employee encounters in a school environment. The employee routinely uses standard office/classroom equipment such as computers, tablets, smartboards, phones, photocopiers, filing cabinets and fax machines.



Job Types: Full-time, Contract for 220 days



Schedule:



  • 8 hour shift (7:00 am - 4:00 pm, 1 hour lunch)

  • Monday to Friday



Work Location: In person
