Prairie State Legal Services, Inc. is seeking a candidate to join our team in the West Suburban Office as an Office Manager. PSLS provides a wide range of legal support to some of the most vulnerable members of our communities, with a focus on assisting with legal problems that impact our clients' ability to meet their basic human needs, including physical safety, access to healthcare, adequate housing, and financial stability. PSLS is the only legal aid organization in the majority of our area, and we pride ourselves on providing high-quality legal services to our clients while fostering a work environment that is motivating, collaborative, and rewarding, with plenty of opportunities for professional growth.
Responsibilities Among other duties as assigned, the Office Manager will:
Support the office with additional administrative tasks, including gift purchasing, lunch orders, and special occasion needs
In partnership with the Managing Attorney, ensure the office is in compliance with PSLS' Operations Manual, Employee Handbook, Accounting Manual, LSC Compliance Manual, CSR Handbook, and any other applicable policy manuals
Leads the development of direct reports to ensure proficiency in their role and ability to advance within the organizations
Ensures all office operations run in a smooth manner that supports the functions of all office employees
Oversees office maintenance and day-to-day upkeep
Manages and oversees all aspects of the client intake experience for the office
Ensures client intake experience follows PSLS Best Practices and that each client is treated with respect and sensitivity
Coordinates with property management for building issues and parking permits
Manages the daily opening and closing of the office
Partners with Admin to support or lead large office projects, including significant updates and relocation
Notifies office staff of applicable office and organizational policy changes
Ensures the office stays well-stocked by managing inventory, collecting supply requests, and ordering supplies
Partners with IT to complete the maintenance and upkeep of the office's IT systems, computers, and phone systems
Maintains office Petty Cash, Client Trust Account, Litigation Account, and Bank Signature Card
Salary and Benefits The Office Manager position is a full-time position at 37.5 hours per week. PSLS offers a salary competitive with similar organizations. The salary range for the Office Manager is $54,000 - $73,667 annually. The starting salary for the successful candidate will be determined based on prior relevant experience. Qualifications
High School Diploma, GED, or equivalent
3+ years of office administrative experience
People management experience preferred
Strong organizational skills
Ability to successfully delegate and direct a team while simultaneously completing their share of the work; is a self-leader with a record of productivity
Strong communication skills that make others feel heard and supported
Excellent oral and written communication
Strong computer skills including proficiency using Google Suite
Strong interpersonal skills and the ability to work effectively as a team member
Spanish language proficiency is preferred, but not required
