We are seeking an experienced, highly organized Office Manager to oversee the day-to-day operations of our offices and create an exceptional workplace experience for employees, leadership, and visitors. This is a full-time, in-office position requiring someone who is proactive, resourceful, and takes pride in keeping the offices operating seamlessly. As an Office Manager you will:
- Own the day-to-day operations of the offices, ensuring a clean, organized, efficient, and professional work environment.
- Open and close the office while managing daily operations, office communications, visitors, mail, and calendars.
- Maintain office and kitchen supplies, including snacks, beverages, coffee service, and coffee machine maintenance, while coordinating onsite meals, catering, and meetings.
- Manage billing, invoices, expense reporting, operational metrics, administrative reporting, and organized records with accuracy and attention to detail.
- Coordinate vendors, building management, maintenance, repairs, office services, and workspace preparation for new hires.
- Support onboarding logistics, administrative projects, special initiatives, corporate events, office activities, and team offsites.
- Provide regular updates on priorities, progress, and action items while continuously improving office processes, organization, and efficiency.
- Handle phone calls, emails, and written communications professionally, ask thoughtful clarifying questions, and ensure alignment on priorities and outcomes.
- Thrive in a fast-paced, high-pressure environment by adapting to shifting priorities, reading the room, and maintaining composure.
Office Manager Qualifications:
- U.S. citizenship required.
- High school diploma required; bachelor’s degree preferred.
- 3+ years of office management, executive support, or administrative experience.
- Excellent written and verbal communication skills with a personable yet professional approach.
- Strong organizational, time management, multitasking, and attention-to-detail skills.
- Proficiency with Microsoft Office Suite.
- Experience managing vendors, consultants, and external business relationships.
- Proven ability to work independently, solve problems, prioritize competing demands, and drive work forward.
- Demonstrated ownership, adaptability, emotional intelligence, versatility, conscientiousness, and a big-picture mindset.
