Job Description - Office Manager

Position Overview: 



  • Status: Full-Time

  • Schedule: 8:00 - 5:00 pm with a 1-hour lunch break

  • FLSA Status: Non-Exempt

  • Location: On site at 109 E 9th Street, New York, NY 10003

  • Annual Salary: $55,000-$62,000

Position Summary: 


This position has overall responsibility for providing administrative support to MGNY’s NYC office and various MGNY’s departments as necessary, with a primary focus on the Tax Appeal Unit. Responsibilities to include, but not limited to, providing client support, maintaining and ordering office supplies, managing schedules for executive team, following up with clients and government agencies for various services, and handling current & potential clients' questions and concerns via phone, email, and chat.

Essential Functions:




  • General Office Duties:

    • Greet visitors to the office.

    • Answer and direct phone calls for the main office line.

    • Maintain and order office, kitchen and bathroom supplies.

    • Assist in planning and coordinating office meetings and company functions.

    • Mail pickup.

    • Light office cleaning, as needed.






  • Tax Appeal Unit Duties:

    • Coordinate and process new client onboarding, ensuring all required information and documentation are collected and accurately recorded.

    • Deliver courteous, professional, and responsive service to applicants, tenants, property owners, and clients.

    • Maintain clear, consistent, and transparent communication with clients, property owners, and government agencies to obtain required documentation and provide timely case-status updates.

    • Conduct follow-up communications with clients regarding outstanding documents, case requirements, deadlines, and other necessary actions.

    • Accurately document and manage client communications and case-related information in internal systems, ensuring records remain complete and current.

    • Prepare and process client agreements, tax appeal forms, and other related documents, as required.

    • Process checks and telephone payments, maintain accurate payment records, and follow up on outstanding invoices and past-due balances.   

    • Other duties as assigned.





Required Skills/Abilities: 



  • Proficient with Microsoft Office Suite and G-Suite

  • Excellent verbal and written communication skills

  • Demonstrated ability to work in a solutions oriented mindset

  • Ability to develop new client relationships

  • Excellent time management skills with a proven ability to meet deadlines

  • Ability to prioritize tasks and to delegate them when appropriate

  • Learning agility, resourcefulness

  • Drive for results

  • Highly detail-oriented with strong accuracy when preparing, reviewing, and entering documents and data



Education and Experience:



  • Associate degree or the equivalent combination of education and experience

  • 3+ years of relevant work experience with Real Estate industry experience preferred



Physical Requirements: 



  • Ability to sit at a computer monitor for extended periods of time

  • Ability to perform repetitive finger, hand, and arm movements

  • Ability to lift up to 15lbs.

  • Ability to effectively discern information and formulate appropriate action

  • Ability to reach, squat, bend, and manually manipulate standard office equipment
