Job Description - Office Manager

The Office Manager (OM) reports directly to the General Manager. This OM manages and directs office and administrative functions.The OM is responsible for maintaining efficiency, complying with policies, controlling costs and other tasks assigned by the General Manager.The OM must have strong leadership, communication and organization skills.

This position operates within broad parameters. The primary goal of this position is to achieve excellence in all facets of office management.Providing the highest quality product safely, effectively and efficiently decreases accidents and errors and increase profits.

Salary Range: $70,000.00 - $80,000.00

Essential Functions:

Environmental and Health & Safety (H&S)

Ensures safe work practices and equipment are used at all times and that documentation and current practices are in accordance with corporate safety policies, OSHA and other regulatory guidelines.
Communicates and reinforces MRB's position on scrap acceptance in line with Environmental Heath and Safety regulations.
Provides a safe environment for all employees, customers and visitors.

Operational Performance & Best Management Practices

Manages and supervises office functions to assure General Manager and marketing group receive accurate and timely support.
Maintains daily, weekly, monthly tracking reports for various sales and shipment activities.
Assists in daily scale system applications making sure all policies and procedures are followed and month end close deadlines are met.
Obtains copies of all contracts and agreements. Oversees maintenance of contract system and copies of contracts are provided to legal, risk and scrap accounting as applicable.
Ensures all Certificates of Insurances and Hazardous Waste Forms are maintained and up to date.
Hires and trains office staff when necessary.

Inventory & Quality Control

Monitors customer service to assure customers are accurately paid, questions or problems are resolved expeditiously, and quality service is provided at all times.
Reviews internal audits, sets procedures and coordinates changes with operations, scale, buyers and office. Updates changes quarterly and yearly.

Internal Control Responsibilities:

Supports the Company's Internal Control process which includes understanding, communicating and complying with defined internal controls as well as suggesting and making modifications to the policies, procedures and controls to better relate to the business.Communicates upward problems in operations, noncompliance with the code of conduct, or other policy violations or illegal actions.

Specific Other Responsibilities (Regional, by Location, Compliance):

May be needed to provide backup Truck Scale Operations including:

Coordinate with office personnel to ensure accurate and timely documentation of all purchasing transactions.
Conduct scale operations and evaluate incoming products: identify contents of each load, operate the incoming scale to determine weight, and direct customers to appropriate areas for unloading.
Operate outgoing scale: identify commodity codes, and compute tickets total for payment

Supervisory Responsibility:

This position directly supervises the Receptionist, Administrative Assistant and Scrap Purchasing Processor/Specialist.

Interpersonal Contacts:

Internal contacts include all levels of employees and management at all MRB locations and Radius Recycling corporate departments to collect and provide information on cost control, conformance with SOX regulations, and day to day office and purchasing practices.External contacts include vendors, suppliers, scrap dealers, banks, and other business contacts.

Job Conditions:

Average office environment subject to occasional dirt and noise due to industrial setting. Some overtime, including occasional weekend work, is required. Time deadlines create pressures to prioritize work. Frequent schedule changes require flexibility and composure.

Physical Activities Required to Perform Essential Functions:

Ability to: sit for extended periods of time, up to 6-8 hours per day; write by hand and/or keyboard for extended periods of time, up to 6-8 hours per day; bend at waist, twist upper body, stand, walk, and negotiate uneven surfaces; assemble papers, stable, and file; apply sufficient force to open and close file drawers. Ability to: communicate both by phone and in person in a professional manner. Visual acuity needed for close detail work, preparing and analyzing data figures, and computer work.

Qualifications:

Two year degree in related field with five years general office preferred with at least two years in management. In lieu of degree, high school diploma or equivalent with ten years general office experience with four years working specifically in management and logistics or accounting/bookkeeping is required.Candidates with knowledge of freight, demurrage, cost calculations and regulation policies on export and railroad shipments will be given preference.

Proficiency required in all MS Office Applications; Outlook, Word, Excel, Power Point. 10-key competency is a must. Typing 60 WPM, data entry and accuracy and advanced accounting and analytic skills; understanding of purchasing systems; superior math skills; advanced knowledge of scrap industry; strong supervisory skills; strong communication skills; discretion in dealing with sensitive information; detail orientation; ability to prioritize and delegate numerous tasks; ability to examine work performed for errors, duplication and/or omissions.This job requires the ability to multi task, anticipate problems and make decisions based on sound judgment and an orderly process of determining facts and developing options. Willingness to challenge conventional thinking.
