Job Description

Duties & Responsibilities:

  • Completing and processing paperwork, coordinating subcontractors, and processing invoices; maintaining databases, collecting expense data, and managing the recruitment and training of employees, and ensuring that the office is stocked with enough supplies.
  • Planning, organizing, directing, controlling, and evaluating construction projects from conception to production in strict compliance with schedule, specifications, and budget.
  • Oversee and manage the activities of a construction department within an organization under the direction of a general manager or other senior managers.
  • In the process of performing the duties of managing a construction project and ensuring that it is completed safely, the office manager is expected to conduct a wide range of crucial tasks in the day-to-day routine.
  • Check and review construction project plans, which may involve meeting and consulting with architects, surveyors, and engineers to examine construction project plans and determine the requirements that are necessary for its completion.
  • Hire staff and buy materials that are needed for the completion of the construction project.
  • Plan work schedules, which involves reviewing the project milestone and drafting out plans on how the project can be completed efficiently and effectively.
  • Supervise and monitor the progress of the construction project by reviewing how far the project has gone and producing ways to ensure that costs and/or expenses are minimized as much as possible and/or in strict compliance with budget.
  • Monitor the quality of the job being done, and then prepare and draft reports to send to clients or management, and answer questions that may arise from feedback.
  • It is incredibly important and beneficial that a construction office manager maintains and promotes health and safety by enforcing safety rules and guidelines.
  • The office manager should have certain skills and qualities to be effective in performing the duties and responsibilities associated with the role. Those required skills include but are not limited to:
  • Strong verbal and written communication skills
  • Excellent negotiation skills, and
  • Attention to detail
  • Excellent organizational skills
  • Strong people skills
  • An in-depth knowledge of construction policies and principles
  • Good leadership skills
  • Good time-management skills
  • Ensure that projects run smoothly by employing efficient and competent administrative staff
  • Analyze existing administrative procedures and produce ways in which they can be improved
  • Ensure that the costs and/or expenses of a construction project are in strict compliance with the client or the organization’s budget
  • Create and execute quality control programs
  • Ensure the maintenance and promotion of health and safety on construction sites by enforcing safety regulations and guidelines
  • Liaising and collaborating with architects, surveyors, engineers, and several other relevant personnel to check and review project plans
  • Monitor construction project progress and costs and ensure that they are within budget

Requirements/Education:

  • Minimum of 5 years’ experience in an office manager or similar role
  • Strong understanding and working knowledge of QuickBooks
  • 3-5 years accounting experience required  
  • Working on taxes for multiple states (Company has CPA on retainer)
  • Actively always working in several states
  • Pay Apps
  • Knowledge of general H/R processes and procedures
  • The ability to write letters to customers or potential customers
  • Hiring and termination of employees
  • File sharing
  • High Speed office operations – Fast paced
  • Must be able to type fast and efficiently

Hours: 8:00 am to 5:00 pm

Days: Monday through Friday
