Triad Complete Healthcare is seeking a professional, detail-oriented, and proactive Office Manager to oversee the daily operations of our clinic. This role is vital to ensure efficiency, organization, and a smooth patient experience. The ideal candidate will be highly organized, able to multitask effectively, and demonstrate strong leadership and communication skills while maintaining a patient-focused attitude.

Role Description
Serves as the central coordinator for the clinic. Responsible for overseeing front office operations, supporting providers and staff, and ensuring patients and families receive professional, efficient, and courteous service.



Roles and Responsibilities
  • Oversees front office operations to ensure patients, visitors, staff, and providers are welcomed and supported in a professional, courteous, and organized manner.
  • Supervises scheduling and intake functions, ensuring all appointments, referral, and encounter fields are completed accurately and efficiently.
  • Ensures accurate patient records, including demographics, insurance eligibility, and benefits information, while proactively identifying and addressing coverage issues with patients and providers.
  • Manages prior authorization processes, coordinating with payers to secure approvals for tests and procedures, and keeping physicians and staff informed of delays or coverage concerns.
  • Maintains operational efficiency, prioritizing tasks, monitoring workflow, and reviewing forms/data for accuracy and completeness.
  • Oversee financial accountability of the front office, including daily cash/payment entries, balancing, and deposit preparation.
  • Provides leadership and communication between patients, staff, and physicians, fostering a positive and efficient clinic environment.
  • Safeguards confidentiality of patient and business information in compliance with all policies and regulations.


Qualifications
  • High school diploma or equivalent required; associate or bachelor’s degree in business, healthcare administration, or related field strongly preferred.
  • Proven ability to lead, supervise, and coordinate staff and office operations in a professional healthcare or business environment.
  • Strong written and verbal communication skills, with the ability to interact effectively with patients, families, providers, and staff.
  • Previous medical clinic or healthcare office management experience preferred; general office administration background required.
  • Demonstrated customer service and problem-solving skills with a patient-centered approach.
  • Ability to analyze and interpret insurance benefits, manage billing workflows, and perform basic mathematical and financial tasks.
  • Knowledge of medical terminology and front-office operations.
  • Understanding of confidentiality standards and full compliance with HIPAA regulatory requirements.
  • Proficiency in typing (40+ WPM) and use of office software/EMR systems.

  • Compassion & Professionalism: Balances empathy for patients and families with professionalism in managing staff and ensuring a smooth front office experience.
  • Technical Proficiency: Proficient in basic computer skills, EMR systems, and office software, with the ability to train and support staff in their use.
  • Insurance & Authorization Expertise: Proficient in verifying coverage, interpreting medical insurance benefits, and managing prior authorizations to ensure compliance, reduce delays, and optimize patient access to care.
