Job Description – Fulfillment of Mission



The Roger Bacon Academy is an education management organization that manages multiple charter schools in eastern North Carolina.  Classical Charter Schools of Southport has an immediate need for an Office Manager.  



The following mission outlines the expectations of all employees at the school level as well as employees of The Roger Bacon Academy in providing support to the schools.



Our understandings of humankind and our universe are expressed and communicated through all of our arts and sciences.  Each method of expression – language, painting, music, mathematics, and science – has its rules and techniques for effectively communicating these ideas and understandings.


These rules and techniques are the bridges over which ideas must be communicated from one generation to the next.

Office Manager – Job Responsibilities


Purpose:


The Office Manager performs a large variety of clerical duties involving interaction with other departments.  S/he serves as the primary support to the Headmaster in all areas that relate to the office functions of the School.  Work is directed by precedents or broad policy.  This employee utilizes a large variety of guidelines to analyze facts and determine the correct procedure to use.  The Office Manager is expected to resolve problems independently using procedures currently in place or help communicate areas in need of streamlining. 


 


Duties and Responsibilities:




  • Oversees and monitors the state student database, PowerSchool, including but not limited to: student attendance, enrollment, withdrawal, scheduling, teacher user accounts, student demographic and contact information.


    • Oversees staff attendance records and reports necessary data to the Headmaster, Finance, and HR.


    • Manages personnel records using organization standards and ensures all documentation is in place and up-to-date for new and existing employees.


    • Schedules campus-wide events including but not limited to: picture day, uniform sales, festivals, orientations, open-house, graduation, and award events.


    • Monitors dress code for staff and students.


    • Communicates messages and information to teaching staff via various channels under the direction of the Headmaster.


    • Manages all office secretarial staff and fills in when necessary.


    • Maintains records of field trip arrangements and schedules bus drivers as needed.


    • Orders office supplies for school offices and classrooms as needed.


    • Enforces handbook policies as applicable with students and staff.


    • Oversees student enrollment process including organization of annual lottery and maintenance of waiting list.


    • Request records for incoming students and mail or fax records for withdrawing students.




  • Print mailing labels, certificates, and other mail-merge documents as needed.


 


Other Duties:


The position of Office Manager reports to the Headmaster of their respective school.  This position is a 12-month position that follows the school academic calendar.



Qualifications


The Office Manager will have the following experience and attributes:


 




  • A minimum of an Associate's degree or equivalent and 3-5 years of experience in the field or in a related area.


  • Experience supporting a high level administrator is preferred.


  • Strong Microsoft Office skills.


  • Considerable knowledge of and ability to use grammar, vocabulary, spelling and punctuation.


  • Ability to compile and summarize information.


  • Ability to learn, interpret and explain policies, regulation and programs.


  • Ability to access information through a computer network.


  • Personal qualities of integrity, credibility, and a commitment to The Roger Bacon Academy’s mission.


  • Physical ability to lift/carry 20 lbs. and dexterity to perform the duties & responsibilities of the job.
