Position would begin in July 2026
Responsibilities
● Oversees the day-to-day front office needs (including greeting visitors, scheduling tours, parent/teacher/student needs)
● Performs general clerical functions (scheduling, copying, faxing, mailing, etc.)
● Oversees cumulative records and files on student attendance, tardies, and truancy
● Manages Independent Studies compliance
● Manages enrollment of new students, ensuring all documentation has been received
● Prepares exit paperwork for students withdrawing
● Directs and supervises students sent to office for health or behavioral reasons
● Coordinates and manages acquisition of photos and IDs
● Organizes luncheons (i.e. calendar, location, payments), including processing free and reduced lunch applications and payments submitted
● Administers first aid and prescription medicines to students
● Follows established emergency preparedness procedures during drills and emergency situations; maintains emergency records & reports
● Maintains inventory of supplies (copier, office, custodial, and health) by checking stock to determine inventory level, anticipating needed supplies, evaluating new office products, placing & expediting orders for supplies, and verifying receipt of supplies
● Coordinates school apparel orders and processes requests with vendors
● Works with Administration to oversee communications to families and community (i.e. teleparent, newsletters, handbook, calendar, social media)
● Coordinates availability of facilities and equipment
● Assists in translation when necessary (i.e. IEP meetings, student enrollment, parent/family-teacher meetings. etc.)
● Processes money brought in from use pay programs
● Processes staff reimbursements and purchase orders
● Coordinates bus acquisition and permission slips for field trips, athletics, etc.
● Assists with the logging of staff absences & submission of Certificated and Classified time cards
● Oversees student data in PowerSchool
● Coordinates custodial and maintenance requests
● Oversees parent volunteers and the tracking of family service hours
● Supports school leadership and staff as needed

● Ability to plan, implement and manage event planning with numerous contributing parties

● Commitment to creation of trauma-responsive environment throughout school
● Interested in working with a wide range of student supporters and stakeholders (i.e. students, colleagues, parents & families, mentors, service providers, case managers, etc.)
● Excited about working closely with teachers and school leadership
● Comfortable working with youth from a variety of cultural, linguistic, religious backgrounds
● A deep understanding of the Da Vinci Schools mission, vision and programmatic details in order to accurately represent the school at events and meetings
Qualifications
● AA/BA preferred
● Administrative writing skills
● Excellent verbal communication
● Supply management
● Proficiency in Microsoft Office
● Proficiency in Google Docs
● Working knowledge of student information & enrollment systems (i.e. PowerSchool, SchoolMint) preferred, but not required
● Demonstrated experience and skill in working with a diverse population
