Pay Range: $18.00- $20.00 per hour, depending on experience
We are seeking a highly organized and detail-oriented Office Scheduler to coordinate and manage scheduling tasks within our office.
Key Responsibilities
Scheduling & Coordination
Create, update, and maintain daily work schedules for installation crews.
Pull schedules and job details from client portals.
Ensure all schedule changes are communicated promptly to field teams.
Communication & Customer Service
Answer phones and respond to emails in a timely and professional manner.
Provide status updates to clients, internal staff, and suppliers.
Assist with resolving warranty concerns and coordinating follow-up visits when needed.
Administrative & Data Entry
Pull purchase orders and verify job-related documentation.
Enter job details accurately into company systems.
Create job tickets and distribute them to the appropriate teams.
Maintain organized digital and physical records.
Operational Support
Learn service areas and job site locations to improve scheduling efficiency.
Work with a sense of urgency to meet deadlines and support daily operations.
Assist with additional office tasks as needed.
Qualifications
Previous experience in scheduling, dispatching, or office administration preferred.
Strong communication skills, both written and verbal.
Ability to manage multiple tasks with accuracy and urgency.
Comfortable with computers, client portals, and data entry systems.
Strong problem-solving skills, including handling warranty and customer concerns.
Knowledge of the insulation or construction industry is a plus (but not required).
Physical Demand:
This position is primarily sedentary and performed in a professional office environment. The employee must be able to remain seated for prolonged periods, operate a computer and other office equipment, and perform repetitive motions such as typing and mouse use. The role may occasionally require standing, walking, bending, and lifting light office supplies up to 15 pounds. The employee must have sufficient visual acuity to read printed materials and electronic displays, and sufficient hearing and speech ability to communicate effectively in person and by phone.
