Job Description - Office Specialist

Job Summary:

This role is responsible for supporting daily office operations, customer service, cash handling, scheduling coordination, accounts receivable support, and clerical coverage functions. The position serves as a key support role for front counter operations, deposit processing, lane clerk scheduling, customer account adjustments, and paperwork coordination. This role also provides backup support for essential office functions and will assume additional inventory and Auto Check responsibilities.

Duties/Responsibilities:

  • Provide front counter customer service and assist customers in person and over the phone.
  • Perform daily money counts Monday through Friday and maintain accurate records of cash activity.
  • Prepare and run daily cash/impound deposits twice daily as scheduled.
  • Assist with accounts receivable payments and deposits.
  • Process online adjustments.
  • Enter charges into system.
  • Coordinate and complete GSA paperwork and related follow-up.
  • Manage scheduling for lane clerks and help maintain proper coverage.
  • Serve as backup for Auto Check responsibilities on Tuesday and Wednesday mornings.
  • Cover the front counter on Wednesdays as assigned.
  • Crosstrain to perform upper clerk, runner, and lower clerk duties as needed for backup coverage.
  • Crosstrain to prepare to assume inventory and Auto Check responsibilities.
  • Assist with other clerical, accounting, and office support duties as assigned to support efficient office operations.

Required Skills and Abilities:

  • Familiarity with Microsoft 365, including Outlook, Excel, and Word.
  • Basic understanding of accounts receivable and financial transactions.
  • Strong communication and interpersonal skills.
  • Detail-oriented with excellent organizational abilities.
  • Ability to multitask and work efficiently in a fast-paced environment.

Education and Experience:

  • High school diploma or equivalent required.
  • Previous experience in customer service, clerical support, cashiering, accounts receivable, or office administration preferred.
  • Experience handling payments, deposits, scheduling, or account adjustments is preferred.

Physical Requirements:

  • Primarily office-based with frequent computer, phone, and front counter work.
  • Must be able to sit or stand for extended periods and move between office and other work areas as needed.
  • Occasional lifting of up to 20 lbs. may be required.
