The Position:


The Office Supervisor provides day to day oversight of the front office and other assigned back office team members in absence of Market Leader. The Office Supervisor will work closely with physicians, advanced practice providers, clinic staff, and other employees to provide efficient and effective related practice operations. 



Essential Duties and Responsibilities:


• Manages all incoming referrals from provider offices and physicians. 
• Ensures financial information/copy of insurance card is forwarded to Billing Dept.
• Maintains effective communication with the billing department, referring physicians, clinical staff, insurance carriers, etc.
• Gathers pertinent information from patients, insurance carriers, financial counselors, and other staff to confirm the patients financial obligations for services. 
• Schedules physician appointments for new patients.
• Answers patients questions and concerns via telephone, text, and email accurately and in a timely and professional manner.
• Responsible for maintaining HIPAA compliance.
• Assists with PSR duties when workload is minimal and all referrals are up-to-date.
• Maintains a continuous positive attitude and outlook toward patients and employees.
• Contributing to the team effort of collecting patient information and preparing charts for upcoming appointments. 
• Create and maintain accurate patient records.
• Cover front desk, and CMA work as needed.
• Complete general office duties as needed, such as sorting mail, IT requests, bank deposits etc.
• Manages day-to-day operations for clinic and ensures adequate staffing and training in absence of Market Leader.
• Identifies and recommends procedural changes and solutions for inefficiencies practice-wide to Market Leader.
• Acts as a liaison with leadership for the providers to relay any clinical, operational, or other issues they may have.
• Responsible for meeting with leadership on a regular basis to provide recommendations, reporting, and insights.
• Identifies staffing and people development needs for direct reports with approval from Market Leader.
• Assists with special projects as defined by Market Leader; oversees MIPS/RISE measures for operational productivity.
• Responsible for the ability to lead and develop a team and drive performance improvement, demonstrated by progressive increase in management
responsibility as directed by Market Leader.
• Consistently and proactively demonstrates the ability to thrive in a highly matrixed environment.
• Accurately monitoring PTO and timesheets and ensuring clinic coverage is provided each clinic day in the case of absences. 
• Other duties as assigned.



Minimum Qualifications:


• Associates degree with 2 years or any combination of education and work experience in a customer service-related role.
• Three (3) years experience working in a medical/clinical setting. 
• Working knowledge of computers, internet access, and the ability to navigate within Microsoft Office Suite, or similar programs.
• Team mentality with the ability to work independently.
• Excellent multi tasker in a fast paced environment. 
• EMR experience.
