Office Support Specialist

Job Description - Office Support Specialist

Job Title: Office Support Specialist

Monthly Pay: $3,484 - $5,204 USD per month

Summary:

Each shift begins with the office support queue: emails, meeting requests, and administrative tasks waiting for review. You organize these requests, maintain clear progress updates, and help colleagues keep everyday business activities moving without missed details. Part of the administrative support team, this role works under an office administration team lead and collaborates with department coordinators, managers, and meeting participants. This fully remote position lets you work from home in South Carolina, United States, handling all responsibilities through digital systems. The role requires a 40-hour weekly commitment. Working days and shift times may vary.

Job Responsibilities:

  • Review incoming emails and the shared task queue at the start of each shift, identifying deadlines, request owners, and missing instructions.
  • Check each request for clear scope, required approvals, participant details, and timing before recording its status and next action.
  • Organize assigned administrative tasks in a project management such as Trello, keeping ownership, due dates, dependencies, and progress notes current.
  • Coordinate meeting invitations through a scheduling and calendar such as Google Calendar, checking availability, resolving conflicts, and confirming attendance details.
  • Prepare meeting agendas from approved discussion points, circulate background materials, and check that participants receive the correct meeting links.
  • Take concise meeting minutes when assigned, confirm action owners with the meeting organizer, and distribute reviewed notes to the intended recipients.
  • Research travel options for staff, compare itineraries against approved requirements, and coordinate reservations only after the designated manager approves the arrangements.
  • Follow up on incomplete requests and approaching deadlines, asking requesters for missing information and updating colleagues when timing or priorities change.
  • Escalate competing priorities, unclear approvals, or unresolved scheduling conflicts to the office administration team lead, explaining the issue and available options.
  • Review completed work for accuracy, turnaround, complete notes, and follow-up before closing tasks and handing over any outstanding items with clear context.

Qualifications:

  • High school diploma or equivalent.
  • About 1-2 years of office support, administrative assistance, or related remote coordination experience preferred.
  • Understanding of administrative request handling, meeting preparation, approval steps, and keeping task updates clear for colleagues across departments.
  • Familiarity with digital task tracking and calendar tools, including updating deadlines, invitations, participant lists, and assigned actions.
  • Ability to prepare clear agendas and concise meeting minutes that distinguish discussion points from decisions and next steps.
  • Clear written and verbal communication when confirming instructions, requesting missing details, and explaining changes to colleagues or managers.
  • Ability to compare travel arrangements, identify scheduling conflicts, and raise questions before making approved reservations or changing commitments.
  • A reliable computer, high-speed internet, and quiet private workspace, with availability for the 40-hour weekly commitment and agreed working days and shift times.
  • Authorization to work in the United States.

Perks & Benefits:

  • Fully remote work from home, with desk-based responsibilities completed through shared digital systems and established team processes.
  • Structured onboarding and training on the named scheduling and project systems, administrative workflows, meeting coordination, and task handoffs.
  • Regular check-ins with the team lead to review priorities, discuss questions, and receive feedback on completed work.
  • Opportunities to build office administration, meeting planning, minute taking, and travel coordination skills through everyday assignments.
  • Health coverage, paid leave, a 401(k), bonus opportunities, and stipends.
