Job Summary

An Office Support Specialist II performs a wide variety of office, administrative and keyboarding work using Microsoft Office programs.  Work of this class involves no supervisory duties or responsibilities.

Incumbents receive moderate supervision from an administrative supervisor.  Employees in this class work a conventional workweek.  Work is performed in an office where employees are not exposed to unusual or hazardous working conditions.  Work requires minimal physical exertion but may involve lifting moderately heavy packages and/or stacks of mail and other materials.

Minimum Qualifications:                             

On or before the date of filing the application, each candidate must:  

Education: Graduation from an accredited high school or possession of a GED certificate.

AND

Experience: Have one year of office and administrative support experience using office automated equipment.

OR

Equivalency Notes: Have an equivalent combination of education and experience.

Some positions in this class may require, in addition to fluency in English, fluency in reading, writing, speaking and translating English into a non-English language.

Knowledge, Skills, and Abilities: 

  • Knowledge of proper English grammar usage, spelling and punctuation.
  • Knowledge of standard computer operations and business software applications such as document management and word processing at an intermediate to advance level.
  • Knowledge of office practices and procedures including office protocol and various filing procedures at an intermediate to advance level.
  • Knowledge of the operation and capabilities of word processing and related equipment at an intermediate to advance level.
  • Knowledge of Microsoft Office Suite software programs at an intermediate to advance level.
  • Ability to type with speed and accuracy, large quantities of diverse correspondence, forms reports and charts in accordance with specialized and commonly accepted formats.
  • Ability to perform arithmetic computations accurately and to use a ten-key calculator with accuracy.
  • Ability to devise attractive and efficient format for material.
  • Ability to deal courteously with employees at all levels or government and to work effectively with varying temperaments, both in person and by telephone.
  • Ability to locate and retrieve information from a variety of sources and to compile the information following general directions.

Background Check                                        

Eligible candidates under final consideration for appointment to positions identified as positions of trust will be required to complete authorization for a Criminal Background Check and/or Fingerprint must be successfully completed. 

Probation 

All persons, including current City employees, selected for this position must complete a mandatory six-month probation.

Eligibility 

Qualified candidates will be considered for vacancies as they arise, for a period of at least six months. The decision of the Director of Human Resources with respect to acceptable minimum qualifications is final.    

Education Accreditation 

Applicants’ education must be obtained from an accredited institution. Education credentials obtained out of the US must be evaluated for US equivalency. Evaluation agencies information may be obtained at www.naces.org. 

Selection Process 

All candidates indicating the minimum qualifications on their applications will be placed on the eligible list without further examination. The training and experience of each candidate will be evaluated for appropriateness and quantity. It is essential, therefore, that you give complete and accurate information on your application. Vagueness or omission may prevent you from being considered for this position. Qualified candidates will not be listed in rank order.       

Examination Process 

Applicants must provide sufficient information on their application to show that they meet the minimum qualifications for this recruitment. Successful applicants will be placed on the employment certified eligible list for at least six months. 

The examination will consist of a rating of your education, training, and experience as presented on your application and as they relate to the requirements of the position. You may be required to complete supplemental questions to further examine specific Knowledge, Skills and Abilities of the position. Therefore, it is important that you provide complete and accurate information on your application.
