The Onboarding Coordinator will assist with onboarding new employees by ensuring onboarding tasks are completed, conducting, reviewing and reconciling background checks, confirming the legal right to work in the United States, and verifying professional licenses and registrations. The Onboarding Coordinator will also assist in the management of the Human Resources telephone system
1. Assist with Transition Management in Navigator, ensuring new employees comply with all onboarding documentation requirements including their completion of, signing, and uploading of required documents, acknowledgments, and forms. Proactively communicate with new employees, Talent Acquisition Partners, and departments to ensure compliance.
2. In consultation with Talent Acquisition and departmental supervisor/hiring managers, generate and issue updated offer letters to candidates who have been rescheduled for NEO.
3. Provide administrative and logistical support for New Employee Orientation, including creating check-in sheets, ordering supplies, and coordinating catering. Send reminder text messages to new employees prior to orientation.
4. Welcome new employees, collect and review employment documentation, ensure all employment documentation is completed accurately, and obtain missing information in accordance with policy and employment law timelines. Collect, inspect, and upload missing identification documentation.
5. Monitor employment eligibility requirements, including background investigations and education verifications, to ensure compliance with applicable policies and timelines. Identify and resolve compliance concerns in a timely manner through proactive communication with departmental supervisors and key stakeholders. Identify discrepancies and communicate with Talent Acquisition Partners and Human Resources Business Partners (HRBPs) for investigation and resolution.
6. Ensure all required professional licenses and registrations are verified for candidates prior to employment. Collaborate with Talent Acquisition Partners and Human Resources Business Partners to resolve verification issues as needed.
7. Ensure religious exemption requests for influenza vaccination requirements are reviewed and approved by the HR Senior VP prior to attending NEO. Work with new hire if request is rejected to ensure compliance.
8. Respond to new employee questions, conduct follow-up outreach to ensure compliance requirements are met, and coordinating with departmental supervisors to resolve outstanding onboarding issues.
9. Facilitate and monitor NEO and collaborate with the Manager, Employment and Compliance to provide an exceptional new hire experience.
10. Manage the completion and compliance of Form I-9 and the E-Verify requirements within established regulatory timeframes. Review documentation for accuracy, resolve employment eligibility issues, maintain required records, and ensure ongoing compliance with federal employment verification regulations.
11. Audit new hire information for accuracy in the HCM and make necessary corrections
12. Develop systems to ensure timely completion of new hire competencies, onboarding requirements, and the orientation checklist.
13. Coordinate the submission, and review the results, of background checks and education verification related to Independent Contractor Agreements. Upload required documentation into the Human Capital Management (HCM) system.
14. Assist with the management of the HR telephone system, utilizing customer service skills to respond and resolve all questions and inquiries. Ensuring that calls are escalated to the appropriate areas for assistance.
EDUCATION:
• High School Diploma, GED, or equivalent required.
• Bachelor’s degree preferred.
EXPERIENCE:
• Previous administrative experience is preferred.
• Previous experience in Human Resources and/or a healthcare environment is preferred.
