Job Description - On-Call, Rentals Coordinator

$28.50/Hour

A. POSITION PURPOSE

Provides coordination for the SCU Presents Performing Arts Center business office’s rental department.

 

B. ESSENTIAL DUTIES AND RESPONSIBILITIES

1.  General Rental Responsibilities

  • Under the direction of the Business Manager, assist with implementing the rental program, including client contact, generating and processing rental agreements, maintaining information in EventPro, generating rental reports, and providing general rental support. 

  • After the event concludes, contact the client to discuss agreement addenda, update billing, client feedback, and close out the agreements.

 

2.   Specific Rental Responsibilities 

  • Respond to requests for rental information and direct the information to the appropriate SCU Presents Performing Arts Center department

  • Maintain files and update calendars

  • Assist in the creation and distribution of rental program information

  • Maintain client data in EventPro, and update rental program files as needed

  • Assist with requests for information on rental policies, procedures, and pricing

  • Prepare rental quotes for the rental team to review

  • Generates agreements, invoices, and tracks payments

  • Print and track house manager reports

1. Recommends initiatives and implements changes to improve quality and services.

2. Identifies and determines cause of problems; develops and presents recommendations for improvement of established processes and practices.

3. Maintains contact with customers and solicits feedback for improved services.

4. Maximizes productivity through use of appropriate tools; planned training and performance initiatives.

5. Researches and develops resources that create timely and efficient workflow. 

6. Prepares progress reports; informs supervisor of project status; and deviation from goals. Ensures completeness, accuracy and timeliness of all operational functions.

7. Prepares and submits reports as requested and required.

8. Develops and implements guidelines to support the functions of the unit.

E.   QUALIFICATIONS

This position requires the ability to effectively establish and maintain cooperative working relationships within a diverse multicultural environment and to promote and contribute to an inclusive and respectful workplace.

1. Knowledge

  • Experience in arts non-profit organizations preferred

  • Understand and support the values and ideals of Jesuit education

2. Skills

  • Strong organizational skills with the ability to handle multiple projects simultaneously, work independently, and be detail-oriented

  • Strong interpersonal and creative problem-solving skills

  • Professional service-oriented demeanor

  • Excellent communication skills 

3. Abilities

  • Ability to learn the EventPro computer software

4. Education

  • Bachelor’s degree preferred.

5. Years of Experience

  • Three years related experience required.
